ABOUT THE ROLE:

Administrative Assistant: Be the Backbone of Our Pine Hill Operations!

PRT is seeking a Full time Administrative Assistant to support one of our largest nurseries,  to be based in Camden, AL at PRT Pine Hill.  This pivotal role provides comprehensive administrative support, ensuring the smooth and efficient day-to-day operations of our Pine Hill bareroot and containerized seedling facilities. You'll be instrumental in managing critical functions including safety administration, inventory and logistics tracking, and financial administration for the Pine Hill site (approximately 80% of duties). Additionally, you'll contribute to broader administrative responsibilities across our Southeast nursery locations, assisting with seedling inventory management, quality assurance process coordination, and financial activity improvements (approximately 20% of duties). This is an exciting opportunity to be an integral part of our team, directly supporting our Nursery Manager, Nursery Supervisor, and regional VP Operations with meticulous attention to detail and a proactive approach to all tasks.

Key Accountabilities of the Adminstrative Assistant:

Essential Functions

Under the guidance and supervision of the Nursery Manager, the Administrative Assistant performs a wide variety of essential functions including, but not limited to:

  • Pine Hill Administrative Responsibilities (approximately 80% of duties and time commitments)
    • Safety Administration – Organizing and documenting training, hazard reporting, and supply-management activities for the site
    • Inventory/Logistics Administration – Organizing and managing records for crop inventories, asset/consumable inventories, seed inventory, production, and seedling shipping activities
    • Financial Administration – Accounts receivable and accounts payable management
  • Southeast Nurseries Administrative Responsibilities (approximately 20% of duties and time commitments)
    • Process coordination and improvement
      • Seedling inventory management facilitation
      • Quality assurance process coordination, such as soil/foliar samples, seedling measurements, etc.
      • Coordination of physical asset inventories (seed, consumables, equipment, etc.)
      • Production-side improvements in financial activities, such as accounts receivable and statement analysis

Secondary Functions

  • Perform new duties as assigned by Nursery Manager.
  • Travel will be mostly local during business hours, although some out of town and overnight may be required <5%.

Qualifications

WHO YOU ARE:

We're looking for a highly organized, self-motivated, and detail-oriented individual with a strong administrative background to join our team as a Nursery Administrative Specialist. The ideal candidate will thrive in a fast-paced environment, possess exceptional communication skills, and demonstrate a proactive approach to managing a diverse range of administrative tasks.

Qualifications & Background:

  • Minimum of 3+ years of progressive administrative support experience, preferably in a manufacturing, production, or agricultural setting.
  • Proven expertise in managing accounts receivable and accounts payable.
  • Demonstrated ability to maintain accurate inventory records, including crop, asset, consumable, and seed inventories.
  • Experience with safety administration, including organizing and documenting training, hazard reporting, and supply management activities.
  • Advanced proficiency in Microsoft Office Suite, particularly Excel (for data analysis, inventory tracking, and financial reconciliation), Word, PowerPoint, Outlook, and Teams.
  • Exceptional organizational skills with a strong emphasis on meticulous record-keeping and attention to detail.
  • Excellent written and verbal communication skills, with the ability to interact professionally and effectively with all levels of staff and management.
  • Proven ability to manage multiple concurrent projects and priorities, and to establish, track, and meet tight deadlines under pressure.
  • A valid driver's license with a clean driving record and willingness for occasional local travel (with overnight travel less than 5%).
  • High School Diploma or equivalent.

Strong Assets:

  • 2+ years of experience in agriculture, forestry, or nursery production, specifically involving inventory management systems or seedling operations.
  • Familiarity with bareroot and container grown seedling production processes.
  • Experience with quality assurance process coordination (e.g., soil/foliar sampling, seedling measurements).
  • Bachelor's degree in Business Administration, Forestry, Agriculture, Horticulture, or a related field.
