Job Description

Your day to day 

We’re looking for an ambitious and process-driven Operations Coordinator to manage and support operational excellence and communication across the US Marketing & Design Studio (GM&DS) function at PA. This is a brilliant opportunity for someone who wants to catapult their development and help revamp our ways of working, instil best practice, and be a key contributor to the success of a growing team.

Reporting into the Head of Operations and US Head of Marketing, your role will be critical to ensuring that our operations (including budgets, planning, reporting and people) run smoothly and enable our team to deliver the marketing strategy successfully throughout the year. You will formulate the marketing response to wider departments and be confident building strong relationships with stakeholders of all levels. This role will also include internal communications, in line with PA’s tone of voice, where strong written skills will be beneficial.

Our ideal candidate will have experience in a business operations role within professional services and have a good understanding of budgets, forecasting, reporting and process. They will be eager to learn and grow and at times will be needed to exercise good judgement, making decisions on behalf of the team, and influence senior stakeholders.

Main responsibilities:

  • Represent the GM&DS function on US operational deliverables including finance and budgets, legal and procurement, and headcount and recruitment.
  • Work closely with sector and center of excellence marketing teams to capitalize on opportunities to successfully deliver marketing campaigns and activities.
  • Coordinate marketing campaign and activity reporting, including monthly KPIs and quarterly performance report.
  • Manage the regional budget and forecast with Head of Operations to ensure we meet our financial business targets.
  • Work with our Head of Internal Communications to align and deliver key communications to our region.
  • Point of contact for invoicing and payment queries, working closely with a procurement business partner to ensure all supplier contracts are appropriately reviewed in line with policy and best practice.
  • Develop key stakeholder relationships with US marketing team, operations, global marketing leads, finance, legal, procurement, HR and other corporate function contacts and be a first point of contact for US Marketing.
  • Assist US Head of Marketing on internal events, leadership initiatives and general administrative support

Role requirements:

  • 2+ years’ experience in a similar operational role within a professional services organisation.
  • Proven experience of budgets, business finances and targets.
  • Great written and verbal communication skills.
  • Ability to prioritize effectively in a demanding role, manage expectations and work to deadlines.
  • Confident managing multiple stakeholders across the organization.
  • Advanced in Microsoft Suite.
