Job Description

  • General Office Upkeep and Maintenance: Responsible for office cleanliness, equipment, furniture and maintenance, including necessary repairs for smooth running of daily operation and a pleasant working environment, such as but not limited to:
    - Basic front desk duties (i.e. answering and screening incoming phone calls, welcoming guests, etc)
    - Maintaining a proper filing system within the department and uploading documents on the intranet,
    - Handle mailing and courier service coordination
    - Ordering pantry and stationery supplies
    - Sending out birthdays cards and buying gifts for employees during special occasion (newborn/get well hampers/condolences flowers), etc
    - Liaising with internal IT department or external IT providers for office equipment servicing and maintenance matters
  • Assist the management on the updates and maintenance of client contact databases
  • Manage the expenses claims and assist on ad-hoc travel arrangement for the Managing Directors
  • Provide the management on administrative support such as data entry, consolidating data or reports, prepare and follow up on action points
  • Administer all petty cash related transactions and supplier payment
  • Assisting with company/ HR events coordination, marketing activities & follow up as and when required
  • Liaising with internal marketing department and suppliers on the printing of marketing materials
  • Undertake any ad-hoc administrative tasks as and when required

Qualifications

  • Minimum Diploma Holder
  • Minimum 3 to 4 years working experience in a similar role
  • Outstanding communication and interpersonal skills
  • Excellent organizational and time management skills
  • Proficient in MS Office/Excel
  • Independent and able to work in a fast pace environment
  • Meticulous and resourceful with a propensity for multi-tasking
