Job Description

Are you an organized, detail-oriented professional looking to play a key administrative role within a team? We are seeking an Administrative Coordinator to provide essential office support to one of our technical teams. In this role, you will work onsite at one of our client’s locations in Jacksonville, Florida, contributing to the smooth and efficient day-to-day operations of the team. You will be the go-to resource for internal staff and external clients, ensuring inquiries are addressed promptly and directed to the right individuals. Responsibilities may include:

  • Collaborate with internal staff to organize, update and maintain business files and documentation as well as review project reports for accuracy and completeness.
  • Reviewing, updating, and retrieving information in project files, contact lists, and team schedules.
  • Partner with project managers to prepare contracts, letter agreements, and other key documents, utilizing company software to set up project structures.
  • Support the coordination of business activities, including scheduling meetings, managing calendars, and arranging travel plans.
  • Take on additional administrative tasks as needed to help the team succeed.

Qualifications

You bring to the team:

  • Associate degree in business or a related area preferred
  • Minimum three years’ experience in a related position
  • Strong communication skills
  • Ability to contribute and work well on a team
  • Strong organization and writing skills, with a strong attention to details
  • Ability to develop and foster effective professional relationships internally and externally
  • Exhibit good interpersonal and problem-solving skills
  • Ability to manage deadlines and multi-task
