Job Description

We are seeking a highly organized, proactive, and dynamic Senior Executive Assistant / Chief of Staff to provide comprehensive support to our global CEO, coordinate the activities of our Global Leadership Team and lead projects across the organization. Working in a high-growth, dynamic environment, this critical role requires exceptional communication and relationship management skills, meticulous attention to detail, and the ability to manage complex schedules, confidential information with discretion and lead the execution of projects across the organization. 

This role is only open to candidates in or near the Orange County, CA area. This Is a hybrid role that will meet in person with the CEO 1-2 days per week in the area. 

The ideal candidate will be highly resourceful and able to work independently in a fully-remote business. Key responsibilities of this role  include:

  • Provide administrative support to the CEO, including managing an extremely active calendar of appointments; composing and preparing correspondence; arranging complex and detailed national and international travel plans, itineraries, and agendas; managing expenses, and compiling documents for meetings.

  • Act as the point of contact between the CEO, internal teams, and external partners and clients.

  • Coordinate the scheduling, agenda, logistics, and materials for the Global Leadership Team, Ollion Board and investor meetings, retreats, and special events, ensuring seamless communication and efficiency and close cooperation with Marketing and Internal Communications. 

  • Facilitate smooth communication between executives, staff, and stakeholders, enhancing the effectiveness of the global leadership team. Attend leadership meetings to ensure smooth running of the meetings, capturing of minutes and action items

  • Manage incoming communications and prioritize in terms of urgency and relevance to the CEO and leadership team’s activities

  • Prepare and edit reports, presentations, and briefs for internal and external use

  • Handle confidential information with the utmost discretion and integrity.

  • Lead and manage special projects as assigned by the CEO, providing project support and coordination to ensure successful execution.

  • Assist in the coordination of cross-functional team activities to ensure alignment with company objectives and deadlines.

Qualifications

Expertise you bring 

  • Bachelor's degree or equivalent experience in Business Administration, Communication, or related field.

  • Proven experience as an Executive Assistant, and/or Chief of Staff and you have demonstrated success supporting C-Level Executives, preferably in a global organization.

  • Exceptional organizational, project management and time management skills; ability to prioritize multiple tasks seamlessly with excellent attention to detail.

  • Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners, and customers.

  • Expert level written and verbal communication skills.

  • Demonstrated proactive approaches to problem-solving with strong decision-making capability. 

  • Highly resourceful team player, with the ability to also be extremely effective in a fully-remote environment

  • Self-starter, able to work independently with minimal supervision or guidance 

  • Proficiency in Google Workspace (Google Mail, Google Sheets, Google Slides, Google Calendar, Google Sites), Slack and Social Media platforms

  • Ability to maintain confidentiality and exercise discretion.

  • Willingness to work flexible hours, accommodating different time zones.

  • Exposure to working with an external board and investors
