Job Description
Under the direction of the Logistics Manager, the Catering Administrative Assistant is responsible for organizing and maintaining all event orders, kitchen sheets, and logistics schedules. This role also oversees the creation and upkeep of signage and label materials for the catering team, while ensuring all administrative tasks are completed in a timely and efficient manner.
This position is driven by daily business needs and requires a highly organized individual with excellent communication skills, strong computer proficiency, and exceptional attention to detail.
THE DAY TO DAY:
- Maintain and update all kitchen sheets for offsite events and catering deliveries
- Maintain and update Banquet Event Orders (BEOs), pack lists, event binders, and other key documentation for the Offsite Catering & Events team
- Create and maintain all signage, labels, tent cards, allergy templates, and menus for the Catering Department
- Organize the weekly catering schedule for the Logistics team
- Coordinate third-party courier bookings
- Assist with basic invoice entry and prepare monthly petty cash reports
- Perform general office administrative duties, including ordering supplies and maintaining the printer area
- Support additional tasks and responsibilities as assigned
Qualifications
- High school diploma required; post-secondary education is considered an asset
- Previous administrative experience; experience in hospitality or culinary environments is an asset
- Proven ability to work effectively in a team environment, with a strong self-motivated and independent work ethic
- Excellent communication skills with a hospitality-first approach in all internal and external interactions
- Strong computer literacy, with proficiency in MS Office (Word, Excel, Outlook, and PowerPoint)
- Exceptional time management and organizational skills, with strong attention to detail
- Ability to multitask in a fast-paced environment while maintaining professionalism, urgency, and effective prioritization
- Professional and mature demeanour
- Legally eligible to work in Canada
