Job Description

As the office coordinator, you will be the first point of contact for the company and you will provide administrative support across the organization. You will handle the flow of people through the business and ensure that all receptionist responsibilities are completed accurately and delivered with high quality and in a timely manner.

  • Greet, assist and/or redirect visitors, answer general and specific inquiries
  • Receive and redirect incoming calls and emails in a courteous and professional manner
  • Provide office assistance to senior executives
  • Effectively prepare, organize and distribute mail as it is received (open, date stamp, sort) and manage outgoing mail processes from preparation to delivery
  • Receive couriers; send out same day and overnight couriers
  • Manage bookings for meeting spaces
  • Manage the Corporate Cellphone Plan with Rogers
  • Ensure that the office (including reception area, meeting rooms, storage areas, and kitchen) are always kept clean, in proper order, and presentable for clients and guests
  • Maintain validity of administrative procedures including telephone extension lists
  • Ordering and maintaining office supplies, including Xerox and Novexco
  • Plan and facilitate monthly staff lunches
  • Ensure all kitchen office appliances are maintained and serviced 
  • Manage the Filebank inventory process
  • Prepare meeting rooms to be ready with technological components and refreshments
  • Assist with loading, packaging, and redeeming of Gift Cards
  • Perform general office duties, photocopying, scanning, and printing
  • Other duties as assigned

Qualifications

DESIRED QUALIFICATIONS:

  • 1-3 years’ experience in a professional office environment
  • Working knowledge of Microsoft Office Suite
  • Solid communication skills both written and verbal
  • Ability to be resourceful and proactive in dealing with issues that may arise
  • Ability to organize, multitask, prioritize and work under pressure

** This is an in-office position, located in the Midtown area of Toronto **
