Managing two stunning residences and working with a team of five staff, the role offers broad scope, autonomy and teamwork, and the opportunity to define and expand the role. The clients, an executive and academic, are supportive and really appreciate the difference an exceptional Executive PA can make.

The role is 70% PA and 30% house management. The ideal candidate would have 12+ years experience; be quick, competent and professional; have strong interpersonal skills; be a self-starter, able to take constructive feedback; able to think ahead; and be adaptable. The candidate would be familiar with corporate culture and processes, fluent with Mac, Excel and Word, and be a strong lifestyle manager.

A bachelor’s degree with 2.1 (grade B) or higher is a plus. Hours are civil -- 8.30 am to 5 pm Mon through Fri with some out of hours support. The London property has parking, good transport links, and a short walk to a lively village with restaurants and amenities.

Key areas of responsibility:

  • Developing and managing systems that help the households run smoothly including health and safety, filing, inventories, contacts, manuals, and invoicing. 
  • Coordinating social activities, booking appointments and managing diaries.
  • Organising celebrations, dinners and helping staff events.
  • Managing and tracking household finances, including invoices and payroll, bank statement reconciliation, and petty cash.
  • Handling purchases, logistics, tickets and memberships.
  • Carrying out an annual review of all major household expenditure items to ensure that the most efficient option is in place.
  • Managing household purchases and returns.
  • Managing diaries and scheduling meetings and appointments.
  • Managing private and commercial travel and holidays.
  • Coordinating and liaising with staff.
  • Local travel only to holiday property, eg monthly.
  • Backstopping Estate Manager duties.

You would report to the Chief of Staff and Estate Manager, backstopping each other as needed.
