Job Summary - Sales Administration Group Leader

Position Summary 

Overall responsibility to manage staff and customers related to sales administration, contract review and sales engineer support. Key activities include managing quotations, contracts, Offer Processing activities, pricing, customer master data, and reporting. 

Essential Functions  

  • Responsible for the execution of the overall strategic direction within region for Sales Administration 
  • Provides direction for evaluating, implementing and maintaining systems to optimize and to stay agile for future acquisitions. 
  • Lead, collaborate, and execute regional projects 
  • Responsible for creating, review/or revising regional procedures/process to increase efficiencies associated with Sales Administration.  
  • Manage regional Sales Administration staff functions including staff selection, preparation & maintenance of Job Documents, Learning Plans, performance appraisal, cross training, and succession planning. 
  • Manage and monitor Contract Review procedures, regional Customer Specific Requirements, and other related Sales Administration responsibilities in compliance to IATF16949 
  • Through sales administration staff, manage contract review – Scheduling Agreements/amendments - compare to quotation file, validate pricing and terms & conditions, prepare necessary forms, verify data entry, maintain files and enter details to quotes database, maintain electronic copy files to support all activities as needed 
  • Develop, define and implement measurable KPI for team (i.e. RFQ’s, won/lost business and updates) and monitor team’s performance. 
  • Establish, manage and monitor customer credit limits to mitigate risk 
  • Resolution of issues with customers 
  • Responsible for escalation to Sales Operations Manager, Americas if issue(s) cannot be resolved 
  • Provide support to Sales Directors, sales teams and customers for overall customer satisfaction. 
  • Participate with developing sales forecast along with compiling/analyzing/reporting on various aspect of the Sales Forecast data to support sales activities and the Annual Business Planning process  
  • Integrate and implement in OPS initiatives to allow continuous improvement within Sales Administration team. 
  • Review operational results against departmental objectives 
  • Ensure staff compliance with IATF 16949 & ISO 14001 EMS requirements and support audits​​ 

Qualifications

Knowledge, Skills, Abilities 

  • Strong leadership, conflict resolution, communication and organizational skills 
  • Comprehensive knowledge and 5-7 years of experience in the Automotive Industry 
  • Administrative and computer skills required (MS Office and CRM/ERP software) 
  • Detail oriented and good communication Skills (Interpersonal and Business Writing Skills)  
  • Product Knowledge and desire to learn  
  • Knowledge of IATF 16949 
  • Problem Solving 
  • Knowledge of Project Management 
  • Regional Travel Required (10-15%) 

Education / Experience 

  • 5-7 years administrative experience in a related environment 
  • College Diploma or University Degree in a Business related discipline  
  • Supervisory skills training / Courses – preferred
