Job Description
Purpose of the Job
You will play a key role in ensuring a smooth and efficient onboarding experience for our clients. Working closely with the Onboarding Assistant Manager, AML/KYC teams, and other internal stakeholders, you will support the onboarding of new clients, coordinate Business Acceptance activities, and help ensure all regulatory and operational requirements are met.
This is an excellent opportunity for someone with experience in Fund Services and Client KYC who enjoys working in a collaborative environment and is looking to further develop their expertise in client onboarding, AML/KYC, and fund administration.
Main Responsibilities
- Support the onboarding of new clients by coordinating activities across multiple internal teams and stakeholders.
- Assist with the preparation and completion of Client KYC onboarding files in line with regulatory requirements and internal policies.
- Monitor onboarding progress and proactively follow up on outstanding items to ensure onboarding milestones are achieved within agreed timelines.
- Prepare and manage onboarding documentation, including Service Agreements and supporting client documentation.
- Act as a point of contact for onboarding-related client queries, delivering a professional and responsive service.
- Support bank account opening processes for new clients, liaising with banks and relevant internal teams.
- Coordinate the incorporation of new client entities by working with notaries, banks, and external service providers where required.
- Prepare submissions and supporting documentation for presentation to the New Business Acceptance Committee.
- Assist in the preparation of meeting packs, minutes, and records relating to Business Acceptance activities.
- Support the preparation of client operating memoranda in partnership with Fund Accounting and Investor Services teams.
- Maintain accurate client records and onboarding data, ensuring documentation is complete, up to date, and appropriately tracked.
- Build strong working relationships with colleagues across Fund Administration, Investor Services, Fund Accounting, Compliance, and AML/KYC teams.
- Contribute to the continuous improvement of onboarding processes and the overall client experience.

Qualifications
- Degree in Finance, Business, Law, Accounting, or a related field, or equivalent professional qualification.
- Professional qualification such as ACCA, CGI/ICSA, or equivalent would be advantageous.
- AML/KYC-related certifications would be beneficial but are not essential.
Knowledge, Skills and Experience
- Previous experience within Fund Services, Fund Administration, Client Onboarding, AML/KYC, or a similar financial services environment.
- Good understanding of AML, KYC, and regulatory requirements, ideally within Luxembourg or a comparable jurisdiction.
- Experience supporting client onboarding and business acceptance processes.
- Strong organisational and time management skills, with the ability to manage multiple priorities and meet deadlines.
- Excellent attention to detail and a commitment to delivering high-quality, accurate work.
- Strong written and verbal communication skills, with fluency in English.
- Ability to build and maintain effective working relationships with clients, colleagues, and external stakeholders.
- Confident working collaboratively across multiple teams and functions.
- Ability to handle confidential and sensitive information with professionalism and discretion.
- Proficient in Microsoft Office applications, including Outlook, Word, Excel, and Teams.
- Proactive and solutions-focused, with a willingness to learn new systems, processes, and regulatory requirements.
- Strong client service mindset with a commitment to delivering a positive onboarding experience.
- Ability to work independently while contributing effectively as part of a team.
