Our Waihi Operation in the North Island of New Zealand is an underground gold mine. A recent consent for the Waihi North Project, a new mine to be developed 6km north of the existing operation has provided a long-term extension of mine life providing our 400 staff and contractors, and the people of Waihi, an assurance that we plan to be here for the long-term.

Job Description

Responsible for project coordination and administrative support for all work relating to the Waihi North Project. In conjunction with providing a variety of other duties to support wider OceanaGold project delivery.

Key Tasks and Responsibilities

  • Prepare and process purchase orders in accordance with executed contract agreements and respond to order issues that may arise.
  • Communicate with suppliers as necessary to ensure compliance with company standards and accounting methodology.
  • Organise and onboard new vendors.
  • Review invoices, check against purchase order and organise approval for payment.
  • Prepare monthly accounting reconciliations and accruals for review by Project Controls Manager.
  • Coordinate, administer and prepare relevant documentation to support purchasing and project control functions as requested by Waihi Expansion Project Controls Manager and other WNP project managers.
  • Scrutinise data from the various groups (design, procurement) and compile reports for costing and programming to the groups within the project.
  • Creating and maintaining relationships with suppliers and customers.
  • Assist with the evaluation and execution of local contracts.
  • Assist with monitoring contracts and purchase orders, including extension, renewal and close-out.
  • Communicating and presenting information to stakeholders regarding contracts.
  • Facilitate project communication.
  • Provide support to Project Controls Manager, project managers and business leaders when requested.

Qualifications

  • Qualification in Business Administration, Project Management or similar is preferred.
  • Full and Current Driver Licence, ability to drive manual vehicles is preferred.

Experience:

  • At least 5 years' experience in project administration and preferably have had exposure to consultant design and engineering work delivery and resource consenting processes.
  • Excellent coordination, communication and computer skills and be able to organise systems and processes to meet overall objectives.
  • Familiarisation and ability to work in a computerised purchasing environment (Pronto experience preferred) and structured inventory cataloguing systems is essential.
  • Ability to operate as a team member in a customer focused environment is essential.
