Job Description

Responsibilities:

  • Set up and book all briefings, director treatments, preprods etc meetings between production and suppliers, and any other meetings as may be required.
  • Source clients for testimonial campaigns; discuss the requirements (demographics, vehicles, locations etc) for the campaigns, source lists of clients from the business, contact clients, source policy schedules, pics and videos from clients as required, provide a dashboard to enable the production manager / creative lead / the business to monitor progress and, once signed off, hand clients over to production house for preproduction.
  • Assist production house with contacting clients, preparing them for shoots, liaising with regard to call sheets etc.
  • Ensure that flighting codes are timeously obtained from media, and manage the process of getting new flighting codes, liaising with post facilities etc when material changes are required.
  • Assisting the production manager / creative lead where possible, adding production schedules to relevant calendars, setting up recordings where necessary etc.
  • Sitting in on budget presentations where possible to better understand the budgeting process.
  • Analysing all budgets to benchmark production costs and input into areas where costs may be cut and profitability improved.
  • Maintaining a production cost spreadsheet with costs per campaign and analysis of production costs on an ongoing basis.
  • Liaising with artists’ agents on artists’ remuneration and preparation of artists’ contracts prior to shooting.
  • Efficient and timeous payment of all production invoices, including deduction of PAYE where appropriate and provision of IRP5s to artists where required.
  • Updating production folders on the server and on Adstream timeously with the latest quotes, treatments, cast updates, final ad versions etc.
  • Have extensive knowledge of current broadcast work in circulation as well as directors and production house capabilities and be able to offer an informed recommendation as to which directors are suitable for each campaign.
  • Show ongoing initiative and apply an intuitive/pro-active approach to assisting with a production by checking in regularly with the creative lead and seeing if there is anything that requires attention or follow up rather than waiting for instructions.
  • Act as the main point of contact to external producers and stay on top of all ongoing email updates concerning the production. Make the first attempt at answering questions from external producers in a thorough and helpful way.

Qualifications

Matric

Advantages:

Diploma/Degree in Marketing, film Production, or a closely related industry

Requirement:

  • Must have at least 2 years advertising agency production experience
  • Proficient in PowerPoint, Word, Excel, Docu-Sign
  • Driver’s License and own reliable vehicle
  • Must be willing to travel to shoot locations locally in South Africa and be away from home at times
