The Global Relations and Cooperation Directorate (GRC) supports the implementation of the Secretary General’s strategic orientations by co-ordinating the Organisation’s relations with partner countries and with other international organisations. It advises the SG and other OECD Directorates on how to strengthen co-operation with key partner countries, regions, and organisations. GRC also serves the OECD External Relations Committee, working with members to help them reach consensus on global relations priorities and ensuring that relevant partners are effectively engaged in the Organisation’s work.

The GRC Director’s office is looking for a dynamic and experienced assistant to provide administrative support to the Critical Minerals Unit and Africa Unit and assist with general coordination matters of the front office. The selected candidate will be strongly client-oriented, experienced in adapting working methods to changing technologies, and welcome the challenge of working in a vibrant, fast-paced environment. They will report to the Deputy Director of the Global Relations Directorate and the Senior Counsellor, as well as liaise and co-ordinate with all Divisions of GRC and other relevant OECD services.

Main Responsibilities

General Administration

  • Contribute to the overall planning of activities and the efficient running of the Division or Unit.
  • Draft routine correspondence and prepare memos, official documents and reports in both official languages of the Organisation, ensuring accuracy, consistency and correct formatting.
  • Prepare contracts for intellectual service providers (external contributors).
  • Monitor requests for information and briefings; disseminate as appropriate for action and follow-up, ensuring that deadlines are flagged and met.
  • Establish and maintain effective records management, structured document retrieval and workflow management systems.
  • Assist in the preparation of material for the Internet site, ensuring that the information is regularly updated.
  • Foster and maintain good working relations with high-level officials within the OECD, national delegations, governments, business and other international organisations.
  • Provide assistance and carry out any other related duties, as required to meet evolving needs.
  • Work in close collaboration with and act as back-up to other support staff in the Directorate.

Meetings and missions

  • Organise and prepare missions for staff including travel arrangements; relevant documents and information and assist in the preparation of mission reports.
  • Process expense claims and ensure compliance with the organisation’s follow-up action, paying particular attention to the rules and procedures of the Organisation.
  • Assist in the organisation of official meetings, workshops and conferences, held both in Paris and abroad, as well as online. This includes all logistical aspects (invitations, registration, documentation, audiovisual requirements, social events) and providing secretarial support during the meetings.
  • Organise the Division’s meeting, including room reservations, logistical arrangements, and follow up actions.

Qualifications

Ideal Candidate Profile

Academic Background

  • A good secondary level of education.
  • Training in office management or as a secretary/assistant would be an advantage.

Professional Background

  • Proven relevant experience as an assistant, preferably in an international organisation. 
  • Excellent knowledge of the administrative rules and procedures of the Organisation or proven ability to learn and assimilate new rules and procedures quickly.
  • Experience in updating content on websites would be an asset.

Tools

  • Excellent knowledge and experience in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and the ability to quickly learn the standard range of software packages used in the Organisation e.g. ONE Author, ONE Members & Partners, ONE communities, ONE Secretariat, SAP Missions, SAP Invitations, Event Management System, Conference Reservation Management System, SRP and SRM.

Languages

  • Fluency in one of the two OECD official languages (English and French) and knowledge of the other, with a commitment to reach a good working level.
  • Knowledge of other languages would be an asset.

Contract Duration

  • 12 months initially with the possibility of renewal

  • Depending on level of experience, monthly salary starts at 4,502.33 EUR, plus allowances based on eligibility, exempt of French income tax.
