Job Description
The Onboarding Specialist reflects the mission, vision, and values of NM, adheres to the organization's Code of Ethics and Corporate Compliance Program, and complies with all relevant policies, procedures, guidelines and all other regulatory and accreditation standards.
Responsibilities:
- Manages and provides subject matter expertise regarding all aspects of the onboarding process for assigned business units.
- Provides advanced interpretation, analysis, and administration of complex onboarding inquiries/ escalations, including troubleshooting skills/ expertise to coordinate problem determination and solution. Strategically partner with team members across multiple functions to best deliver determinations and solutions.
- Works collaboratively with other HR and IT teams to ensure exceptional customer service and seamless onboarding for hires.
- Ensures completion of online documents by applicants and new employees as required by the Department of Labor, BCIS and other State and Federal agencies.
- Maintains and supports all regulatory standards.
- Audits onboarding activities to ensure timely, accurate processing of hire data across multiple systems.
- Troubleshoots Applicant Tracking System and Onboarding System issues with candidates and assists with on-line support.
- Ensures hires are cleared and compliant prior to hire according to NM and applicable regulatory standards.
- Performs thorough licensure/certification/education verifications.
- Orders and reviews background checks and fingerprinting. Assesses background results to confirm employment eligibility per applicable laws and regulations.
- Coordinates with Occupational Health Departments as well as external vendors to establish physical clearance.
- Identify, classify, maintain, and protect files, documentation, and sensitive information consistent with record handling and retention requirements, and report any breaches with delay.
- Follows legal standards when disseminating information and when following internal processes.
- Prioritizes tasks and issues to ensure they are addressed according to organizational standards.
- Conducts crucial conversations regarding offer and clearance status with hires, hiring managers and business partners.
- Exemplifies NM Service Excellence standards to internal and external customers at all levels of inquiries, from phone calls, e-mail requests and walk-ins.
- Identifies opportunities to update existing knowledge base / content maintained by the Talent Acquisition/Onboarding Department.
- Remains abreast to Human Resources trends via attendance at conferences/workshops, professional affiliations, webinars and literature review.
- Other duties as assigned, including but not limited to process documentation, auditing data and process improvement initiatives.

Qualifications
Required:
- Bachelor’s degree or equivalent experience.
- Human Resources experience.
- Ability to manage and prioritize a large onboarding portfolio in a fast-paced environment.
- Ability to synthesize information from multiple sources or channels to identify solutions to onboarding inquiries.
- Excellent written and verbal communication skills.
- Strong technical acumen, and demonstrated abilities navigating multiple systems.
- Utmost integrity in handing confidential and sensitive information.
- Advanced analytical and problem-solving skills.
- Excellent customer service skills and level of professionalism.
- Knowledge of Microsoft Word, Excel, and PowerPoint.
- Knowledge of applicant tracking systems.
- Highly organized and customer focused.
- Works effectively in a team environment and independently.
Preferred:
- HR Certification (PHR).
