THE POSITION:

Northwest Arkansas Children's Shelter seeks an energetic, reliable, and assertive individual to serve as Reception Coordinator to play a key role in the day-to-day operations of our building while embracing and upholding our mission and values.

Job Description

RESPONSIBILITIES:
The Reception Coordinator will be responsible for the management and operations of the lobby and reception area for Northwest Arkansas Children’s Shelter. Key responsibilities include but are not limited to:

  • Provide excellent customer service by greeting visitors and callers, organizing and prioritizing large volumes of information, calls and visitors.
  • Collect, sort, distribute and prepare mail, newspapers, messages or courier deliveries
  • Manage all security screenings, paperwork and identification for visitors in Raptor system; input any and all relevant data collected from visitors and volunteers into donor relation database; monitor campus security cameras.
  • Facilitate the arrival and departures of all visitors, volunteers and staff.
  • Communicate necessary operational information to appropriate staff, as directed by the Leadership Team.
  • Manage information and correspondence with an exceptional level of discretion in accordance with NWACS confidentiality standards.
  • Maintain a safe and clean reception area by complying with agency policies and procedures; ensuring front lobby area is fully stocked with supplies throughout the day.
  • Support Leadership Team, Supervisors and other staff with assigned project-based work.
  • Attend and participate in mandatory trainings, staff meetings, and all other events, as required.
  • Perform other duties as assigned.

Qualifications

MINIMUM REQUIREMENTS:
Qualifications

  • Twenty-one years of age or older
  • High School diploma or equivalent required
  • Minimum of three years’ experience in general office responsibilities and procedures
  • Must pass all criminal history and child maltreatment and background checks
  • Must submit to pre-employment drug screen as well as random drug screens when directed
  • Valid driver’s license, proof of personal automobile insurance, and acceptable driving record required to drive shelter vehicle and/or for shelter business

Preferred Qualifications:

  • Experience working in a non-profit office setting
  • Experience working with children in crisis
  • Relevant college courses or college degree 

Essential Knowledge, Skills, and Attributes

  • Proficiency with Microsoft Office and other database programs
  • Ability to operate standard office equipment, including but not limited to: computers, telephone systems, calculators, copiers and facsimile machines
  • Effective problem-solving and decision-making skills
  • Flexibility, reliability, and self-motivation
  • Ability to work independently and as part of a team environment

Additional Information

WORKING CONDITIONS

  • This is a 16-24 hour per week position. Typical schedule is 8 am – 5 pm, Thursday-Friday and alternating Wednesdays
  • Tasks may involve walking, standing, climbing, bending, kneeling, crouching and lifting for long periods of time both indoors and outdoors
  • Cleaning as directed
  • Ability to lift at least 50 pounds.
  • Potential exposure to communicable disease/contagions.
