Job Description
The Payment Operations Coordinator plays a key part in coordinating aspects of the financial flow of the E-commerce and marketplace business, from OMS to customer payment and revenue recognition, while supporting forecasting, budgeting and performance analysis. The payment Coordinator will support the financial operations of the E-commerce department to ensure accurate control of online payments, sales reporting, marketplace financials and forward looking financial planning.
Key tasks & responsibilities
Online Payment & Transaction Management
- Support daily monitoring and reconciliation of online transactions processed through PSP;
- Ensure accurate settlement, fee validation, chargeback tracking & refund processing;
- Investigate and resolve payment discrepancies in collaboration with Customer Service, IT and PSP support;
- Assist in maintaining payment method performance analysis (approval rates, declines, fraud indicators);
- Support audits and compliance related to online payments and PCI requirements.
Order Management System (OMS)
- Act as the finance owner of the Order Management System (OMS) for E-commerce;
- Ensure financial accuracy across the full order-to-cash lifecycle, from order creation to fulfilment, returns and refunds;
- Monitor and reconcile financial data between OMS, ecommerce platform, PSP, ERP and marketplace systems;
- Identify, investigate and resolve discrepancies such as paid-but-unshipped orders, shipped-but-unpaid orders or unmatched refunds etc.;
- Work closely with internal and external parties to resolve OMS related financial issues.
Sales & Revenue Reporting
- Prepare daily, weekly & monthly E-commerce sales reports;
- Support revenue recognition in line with company and accounting standards;
- Monitor promotional and campaign performance from a financial perspective.
Marketplace Financial Control and Processes
- Manage financial reporting and reconciliation for online marketplaces;
- Validate marketplace settlements, commissions, logistics fees and chargebacks;
- Maintain internal controls over online revenue, payments, and OMS processes;
- Support documentation of finance processes and controls related to Ecommerce, marketplaces and OMS;
- Ensure timely and accurate posting of marketplace revenues and costs;
- Act as finance point of contact for marketplace related queries.
Forecasting & Budgeting
- Support preparation of sales forecasts, budgets and rolling forecasts for the ecommerce channel;
- Track actual performance versus budget & forecast;
- Support long-range planning and scenario analysis (eg. growth, promotions, new markets and channels).
Qualifications
The ideal candidate;
- Holds a degree in Finance, Accounting, Business or a related field;
- Has minimum 2 – 4 years of experience in finance, accounting or commercial finance;
- Has experience in E-commerce or online retail finance;
- Has strong Excel skills and experience working with ERP and reporting systems;
- Has high attention to detail with strong reconciliation and analytical skills.
Additional preferred aspexts:
- Is experienced in working with PSP or other online payment service providers;
- Has hands-on experiencein working with an Order Management System (OMS);
- Exposure to marketplace financials;
- Is experienced in working in a multi-country, multi-currency EMEA environment;
- Has good understanding of VAT and cross-border e-commerce transactions.
