Job Summary

The Sales Support/ Office Manager Dental is responsible for providing commercial- and administrative support to the Benelux Sales Team. He/ she will a.o. manage trainings, consignments and shipments and act as a first point of contact for the sales team.

 

General functions

  • Organize maintenance of our material: supervise the maintenance, cleaning and complete sterilizing of our work shop material (kits, motors, torque) to ensure the TMs receive the material in excellent conditions.
  • Administrative and commercial support to the sales team to achieve regional sales targets.
  • Sorting the postal mail and dispatch.
  • Management of consignment stock: regular inventory, taking-in new consignments, follow-up , registering in Navision
  • Support to organize training & education, courses, workshops & cadaver courses.
  • Source and send administrative and marketing documentation to support our customers.
  • Take care of all repairs: units, hand pieces, torque - receive from customers, ship to the supplier, ship back to customers and take care of the invoice with the account service.
  • Follow up recall : forward the information concerning the recall, ensure products come back, have the letters signed by the customers in order to properly document the cases in line with internal procedures and in cooperation with the quality/Recall service.
  • Compliance contact: follow up ARC/GRC calls and make sure compliance procedures are strictly respected.
  • Accounts receivables follow up with Finance Collectors and reminding our customers. Calling, mailing.
  • Be the liaison officer between the Benelux sales team and EMEA shared service centre.

  

General administration tasks:

  • Support Marketing service for Benelux new vendors and pre approvals;
  • Support for HR – vacation tracking for TM’s in the Netherlands;
  • Send invoices to customers from Belgium;
  • Payables: scan invoices for Belgium and Netherlands; create vendor files + PO/PR process;
  • Encode invoices received from Valencia (parcels are being drop shipped from VLC);
  • Handle returns & exchanges from NL and BE and send to VLC or scrap;
  • Oversee FAGG and REZIV administrative requirements.

 

 

Qualifications

Requirements & Candidate profile

  • Previous experience in dentistry or clinic as a nurse in operation quarter, implantology, prosthetic assistant or lab technician;
  • At least five years of experience, preferably in a technologically advanced dental or medical market;

  • Fluent Dutch, French and English is a must!;

  • MS office, IT literate, managing outlook calendar.
