Nine Publishing is seeking a Personal Assistant to primarily support the Executive Director. The Personal Assistant will also be responsible for the smooth operation of the Executive Editors office.

The position provides high-level executive support to the Executive and day-to-day office management and reception duties. Reporting directly to the Executive Editor, the role involves confidential, high-level information as well as engagement with executive and community stakeholders.

This is a diverse, hands-on role which requires professionalism, interpersonal skills, energy and attention to detail.

Job Description

Day to day you will be responsible for:

  • Provide quality and timely administrative support to Executive.
  • Coordinate executive communications, including taking calls, responding to emails and interfacing with clients.
  • Maintain and coordinate an effective calendar system, ensuring the Executive’s competing demands are effectively managed.
  • Making travel arrangements and detailed travel itineraries
  • Maintain the current filing and database system
  • Uphold a strict level of confidentiality
  • Acting as the point of contact between the Executive and their internal or external colleagues
  • Organising meetings and booking meeting rooms
  • Producing reports and presentations
  • Maintain a high level of awareness of matters coming into and out of the Executive’s office to effectively respond to enquiries and exercise sound judgement on the manner of response.
  • Managing expenses through Concur system
  • Keeping the Executive across invitations and events, and looking after the RSVP’s on their behalf
  • Attending meetings when necessary and taking key notes as well as actioning any action items

In order to succeed in the role, you will have:

  • Proven experience as a Personal Assistant reporting directly to an executive
  • Advanced GSuite skills, with an ability to become familiar with firm-specific programs and software
  • Proficiency in collaboration and delegation of duties
  • Strong organisational, project management and problem-solving skills with impeccable multi-tasking abilities
  • Exceptional interpersonal skills
  • Friendly and professional demeanour
  • Ability to establish strong internal and external relationships and networks
  • Working with people from a diverse range of backgrounds and cultures, you will have a proven
  • capacity to relate to others at all levels.
  • Aptitude to think quickly, decisively, efficiently and effectively under pressure.
  • Ability and willingness to foster and initiate continuous improvement in systems and procedures.
