Job Description

Office Management:

  • Manage janitorial staff in Mtn View & SF offices
  • Maintain a clean and well stocked office
  • Manage all office repairs & improvements
  • Manage incoming & outgoing mail
  • Organize weekly & ad hoc company meals
  • Maintain office supplies & equipment
  • Plan & orchestrate company events
  • Manage main phone line
  • Manage company credit cards & related month-end accounting
  • Post bills to Bill.com & manage vendor payments, 1099's

HR Administration:

  • Maintain personnel records
  • Update internal HR databases
  • Maintain policies and procedure manual & files
  • Main point of contact for employee requests/questions
  • Keep abreast of labor & office regulations
  • Onboard new employees
  • Employment verifications
  • Track monthly survey results
  • Provide a safe environment for all employees
  • Coordinate termination docs & exit interviews

Benefits Administration:

  • Manage benefit programs & related billings
  • Open Enrollment
  • COBRA
  • Ensure accuracy of semi-monthly employee benefit deductions
  • Assist employees with benefit questions and support

Payroll Administration/Accounting:

  • Time tracking for hourly paid employees
  • Process semi-monthly payrolls

Recruiting:

  • Write job descriptions & post to Smart Recruiters platform
  • Screen incoming resumes & distribute to managers
  • Coordinate phone & onsite interviews

 

 

Qualifications

 

  • 3+ years exp in office management and/or HR (payroll. a/p or recruiting exp a plus)
  • An always positive attitude
  • Ability to take and follow instruction well
  • Attention to detail
  • A strong and resourceful work ethic
  • Creative thinker (in a highly creative environment)
  • Ability to handle stress and stay calm in a fast paced multitask role
