Job Description
Position Summary:
The Manager – AP Reconciliations is responsible for owning timely and accurate Accounts Payable (AP) reconciliations and period-end close readiness, ensuring strong control compliance, clean audit trails, and effective issue/variance resolution. The role focuses on managing reconciliations across AP subledger–GL, GR/IR, and clearing/suspense accounts, driving disciplined tracking, resolving aged items, and ensuring audit-ready documentation
Key Responsibilities:
Reconciliation Ownership & Close Readiness
Own daily and month-end AP reconciliations across:
AP subledger vs GL
GR/IR accounts
Clearing / suspense accounts
Ensure timely close readiness and reconciliation sign-offs
Support period-end close activities, including accrual validation and cutoff checks
🔹 Variance Resolution & Aging Management
Investigate and resolve reconciliation breaks and variances
Drive resolution of aged items through structured tracking and follow-ups
Perform root cause analysis (RCA) and implement corrective actions
Ensure timely closure of open recon items and discrepancies
🔹 Controls, Compliance & Audit Readiness
Ensure adherence to internal controls, SOX compliance, and audit standards
Maintain audit-ready documentation, workpapers, and evidence packs
Support internal and external audits, including walkthroughs and evidence requests
Ensure completeness and accuracy of control documentation and approvals
🔹 Risk Tracking & Governance
Track and manage reconciliation risks, aging items, and unresolved variances
Enforce timelines and escalate risks proactively
Maintain visibility of key risks and issues impacting close readiness
🔹 SLA, Metrics & Reporting
Monitor and manage reconciliation KPIs (timeliness, aging, quality, break resolution)
Maintain reconciliation packs, variance logs, and close dashboards
Provide insights on trends, recurring issues, and performance gaps
🔹 Stakeholder Coordination
Collaborate with:
AP Invoice Processing & Payments teams (inputs impacting balances)
Treasury (payment timing, failures, dependencies)
Procurement
CAO / Controllership teams
Coordinate with auditors (internal/external) for reconciliations and evidence
🔹 Continuous Improvement & RCA
Drive RCA and corrective/preventive actions (CAPA) for recurring breaks
Improve reconciliation processes to reduce manual effort and recurring errors
Support standardization, automation, and process improvements
🔷 Outcomes (Success Measures)
Clean, timely reconciliations with signed-off AP–GL, GR/IR, and clearing accounts
Reduced aged items through disciplined tracking and faster resolution
Improved close reliability with readiness sign-offs and fewer surprises
Strong controls compliance with complete audit-ready documentation
Reduced recurring breaks through RCA and corrective action closure
Qualifications
🎓 Education & Experience
Bachelor’s degree in Finance, Accounting, or related field
8–12 years of experience in AP, reconciliations, or finance controllership roles
Strong experience in month-end close and reconciliation processes
🧠 Functional Expertise
Strong knowledge of:
AP subledger and GL reconciliations
GR/IR and clearing account management
Close processes, accruals, and cutoffs
Audit, controls, and compliance frameworks
⚙️ Technical Skills
Hands-on experience with:
SAP (AP subledger, GL, GR/IR, postings, clearing accounts)
Onestream (or similar consolidation tools)
Strong proficiency in:
Excel (reconciliation packs, variance analysis, trackers)
Reporting and dashboard preparation

Controls & Audit: Workpapers, approvals, JE/accrual support, audit trackers
