Are you someone who thrives on creating smooth, efficient, and welcoming workplace environments? We are looking for a proactive and detail-oriented Contract Facilities Coordinator to play a critical role in ensuring our office runs seamlessly every day.

In this role, you will be at the heart of workplace operations—partnering closely with the Facilities Manager and Cluster Manager to maintain a productive, safe, and engaging environment that supports our business and employees.

Responsibilities

Drive Daily Workplace Excellence

  • Oversee day-to-day office operations to ensure a clean, safe, and well-organized workplace
  • Ensure continuous, high-quality delivery of reception, security, mailroom, and janitorial services
  • Coordinate closely with reception and mailing teams to deliver exceptional office services

Be the Go-To Facilities Champion

  • Serve as the primary point of contact for all landlord-related matters and tenant requests
  • Manage cleaning and other facility vendors, ensuring service quality and performance standards are met
  • Handle daily requests from employees, coordinating with maintenance teams and vendors for timely resolution

Create a Positive Workplace Experience

  • Foster a pleasant, engaging, and productive work environment for all employees
  • Communicate building updates effectively (e.g., maintenance schedules, landlord events, procedural changes)
  • Deliver prompt, professional, and customer-focused responses to workplace needs

Manage Procurement & Cost Efficiency

  • Obtain vendor quotations, raise purchase orders, and support invoice processing (experience with Ariba is essential)
  • Identify cost-saving opportunities and support vendor bidding or service optimization initiatives

Support Facilities Projects & Operations

  • Work with Project Managers to support office renovations and relocation initiatives
  • Collaborate closely with Facilities Management team members to drive operational excellence
  • Liaise with landlords to ensure preventive maintenance programs are executed and tracked effectively

Additional Information

  • This is a contract position
  • Fully on-site role (no hybrid work arrangement)

Qualifications

  • Bachelor’s degree or equivalent combination of education and experience
  • Minimum 3+ years of experience in facilities operations or workplace management
  • Hands-on experience managing vendors and on-site services
  • Familiarity with procurement and finance processes, including Ariba
  • Strong knowledge of facilities operations procedures and best practices
  • Excellent communication and stakeholder management skills (written and verbal)
  • Highly organized, proactive, and service-oriented mindset
