Job Description
The Travel & Expense Associate will be responsible for managing end-to-end processes related to employee travel and expense activities, ensuring compliance with company policies and regulatory requirements. This role requires strong expertise in expense auditing, corporate card administration, and reconciliation, along with proficiency in key systems such as Concur, AppZen, ServiceNow, and SAP. The ideal candidate will possess excellent analytical skills, attention to detail, and the ability to provide timely support for employee queries.
Key Responsibilities:
- Expense Report Auditing:
- Review and audit employee expense reports in Concur using AppZen AI tool for policy compliance and fraud detection.
- Ensure accuracy and adherence to company travel and expense policies.
- Employee Support & Query Resolution:
- Handle employee queries related to expense reports, advances, and reimbursements via ServiceNow.
- Provide guidance on policy interpretation and system navigation.
- Corporate Card Administration:
- Manage issuance, activation, and maintenance of corporate cards.
- Monitor card usage and resolve related issues promptly.
- Accounting & Reconciliation:
- Assist with T&E-related accounting entries and month-end reconciliations.
- Support Controllers in clearing aged balances and ensuring accurate financial reporting.
- System Expertise:
- Work extensively with SAP for accounting and integration with T&E processes.
- Maintain data integrity across systems and support process improvements.
Qualifications
- Bachelor’s degree in finance, Accounting, or related field.
- 3–4 years of experience in Travel & Expense management.
- Proficiency in Concur, AppZen, ServiceNow, and SAP.
- Strong understanding of corporate card programs and expense policies.
- Excellent communication, problem-solving, and stakeholder management skills.
- Detail-oriented with the ability to work under tight deadlines.. Stakeholder Engagement
- Liaise with employees, approvers, and finance teams to resolve queries.
- Conduct training or awareness sessions on T&E policies and tools.
- Support internal audits and external reviews.
Project & Initiative Support
- Participate in global or regional T&E initiatives (e.g., automation, policy refresh).
- Lead or support reconciliation efforts, especially for cross-entity activities.
- Drive continuous improvement in T&E operations.
Qualifications
- A Qualified MBA/B.Com with 3 + years corporate experience
- Experience with ERP systems (SAP module is a plus),
- Advance Excel working knowledge,
- PowerPoint Experience is preferred,
- Excellent analytical skills,
- Self-motivated and the ability to work effectively in a team environment,
- Proven interpersonal and communication skills,
- Problem solving skills,
- Strong customer service orientation: need good listening and communication skills.
