Job Description

ABOUT THE ROLE 

We’re looking for an organized, friendly, and motivated Office & Facilities Coordinator to help keep our workplace running smoothly. This role is perfect for someone who enjoys supporting others, likes being the “goto” person in the office and is excited to learn more about facilities and office operations. 

You will work closely with the Facilities or Cluster Manager and play an important part in making the office a welcoming and wellorganized place for employees and visitors. 

 

RESPONSIBILITIES 

  • Create a positive, helpful atmosphere for everyone in the office 

  • Keep track of office and kitchen supplies and reorder when needed 

  • Support reception, security, and cleaning teams to ensure daily operations run smoothly 

  • Share simple building updates (maintenance work, events, changes in procedures) 

  • Help manage security access badges for colleagues and guests 

  • Assist with meeting room bookings, AV support requests, and catering orders 

  • Respond to daily employee requests and coordinate with the landlord or vendors 

  • Support building maintenance routines and basic compliance tasks 

  • Assist with small office moves or renovation activities 

  • Work with Corporate Security on basic safety needs 

  • Help with vendor quotes, invoices, and purchase orders (Ariba) 

 

QUALIFICATIONS 

  • Bachelor’s degree or relevant experience or learning towards a degree 

  • Around 3 years of experience in office support, coordination, or facilities roles 

  • Friendly communication style and good organizational skills 

  • Comfortable working with vendors and learning facilities processes 

  • Willingness to grow, learn, and take on new tasks 

  • Onsite role (no hybrid option)
