Job Description

ABOUT THIS JOB

The project coordinator role is responsible for managing all aspects of field activities to ensure that projects are completed within established budgets, parameters and schedule, making sure we deliver & exceed expectations and delight clients.

RESPONSIBILITIES

In this job, responsibilities can be described by putting them in a few sections:

QUOTATION

  • Clarifying costing proposal specification and client requirements
  • Providing quoting services 
  • Checking the internal communication and costing
  • Tracking and updating the quotation cost timely
  • Reviewing capacity concerns with increased or additional business

FIELD - SETUP

  • Preparing high-quality fielding materials & instructions
  • Establishing and facilitating regular project meetings and discussions with commercial
  • Providing fieldwork briefing & training to vendors
  •  Working closely with field team/vendors and online panel suppliers
  • Checking questionnaires, survey links, and coordinating any rectification

FIELD EXECUTION

  • Monitoring the productivity and progress by driving fieldwork team or external vendors to meet project timeline according to a planned schedule
  • Monitoring respondent quotas are targeted and achieved, tracking and advising on the quality of responses and data
  • Ensuring all the project material/product/concept and storage are handled confidentially
  • Managing and tracking project budget and variance

PROJECT CLOSURE

  • Delivering timely project summary reports and performance dashboard
  • Calculating payment with vendors or online suppliers
  • Ensuring all the project material/product/concept are disposed confidentially

QUALITY ASSURANCE

  • Implementing quality assurance procedures in accordance with data collection methodology
  • Ensuring timely communication to the field team or vendor on any quality issues found
  • Using systems or tools to track data fluctuations and identify & address fieldwork issues through data analysis

A LITTLE BIT ABOUT YOU

The ideal candidate should have extensive project coordination experience as well as solid operational knowledge in the market research industry and have excellent field/vendor relations skills including supervision, negotiating, and follow-up.

ROLE REQUIREMENTS 

  • Bachelor’s Degree is required from an accredited college or university
  • 1-year project management or project delivery relevant experience in market research is preferable
  • Understanding the project management process in the market research industry
  • Seeking support or advice when needed and taking proactive action within own scope
  • Openness to new ideas and embracing the benefits of change
  • Ability to plan own work to ensure completion within an agreed time frame
  • Handling multiple tasks simultaneously
  • Ability to establish rapport easily and develops positive working relationships with colleagues and external clients and partners
  • Ability to maintain performance under pressure and accepts accountability for own actions and performance
  • Cooperating well with others within and across departments to get the work done
