HR Operations (12 months contract)

Job Description

  • Support in the HR communication (HR buzz, newsletter, translation, prepare the Learning and Development communication, highlight of the months, simply excellent awards, promotion announcement, ect.,)
  • Support the L&D logistic arrangement, participant tracking and following of acceptance, follow the tracker.
  • Support in the onboarding process such as being in charge of the logistic/facilities arrangement with IT to prepare the email accounts, laptop, etc., and arrange the schedule for Line manager to arrange the first date schedule. Ensure that all personal data of new hires are available in the employee master tracker, and Personal files. Coordinate to arrange the first-day briefing and and schedule the 1st-month Orientation schedule. Follow the new hire's sign-off/confirmation for necessary documents (code of conduct, labor contract, necessary virtual learning courses, and to-do list).
  • Handle the process to onboard Interns to ensure the Internship contract is signed and coordinate with the line manager to check the timesheet and C&B for payment at month-end. Ensure the Off-boarding of Intern in compliance process. 
  • Coordinate the Off-boarding process to send the exit kit/email and follow up with the final clearance process.  
  • Support in the preparation for the recognition programs such as certification preparation and update the details in the notice board, award payment.
  • Proceed with ordering and payment requests when required (promotion gifts, visa and work permit payment, schooling allowance, HR events, etc.,)
  • Support C&B in the payroll process for temporary employees
  • And other HR operation tasks as and when required

Qualifications

  • Bachelor’s degree;
  • Experience in an equivalent position is preferred
  • Experience in communication preparation (email, newsletter, ect.,) is advantaged
  • Advanced MS Office user with strong focus to Excel
  • Can use English and Vietnamese in writing and speaking well
