New England Donor Services (NEDS) coordinates organ and tissue donation in Connecticut, Maine, Massachusetts, New Hampshire, Rhode Island, the eastern counties of Vermont and Bermuda. Responsible for one of the largest of the 55 Organ Procurement Organizations (OPOs) that make up the nation’s donation system, NEDS works with over 200 hospitals and serves nearly 15 million people in our region, screening nearly 55,000 potential donor referrals annually. With approximately $140M in operating revenues, NEDS employs 360 clinical and non-clinical staff members throughout New England and across the country.

Job Description

The Quality Systems Specialist(QSS) will be responsible for ensuring compliance with all internal Standard Operating Procedures and all pertinent regulatory and accreditation requirements. Duties include the following: perform QA review of organ and tissue donor records and associated data entry; collects, documents and distributes all relevant information to complete donor records and assure regulatory compliance; and ensures tissue processors and transplant centers are provided with all donor information required to help ensure the safety of the recipients of donated organs and tissues. Each level assumed the competencies of the essential job functions of the previous level. This is a hybrid role that requires 1-2 days in office per week after a successful orientation period. There is a weekend coverage rotation once every 7/8 weeks. 

  • Collaborates with QSS team members to develop a staffing schedule that ensures QSS coverage 7 days a week (including holiday on call coverage).
  • Completes tissue donor record review (preliminary and final) to ensure compliance to policies and procedures of NEDS and other governing bodies. This includes reviewing for all required data entry, test reporting and information sharing.
  • Completes organ donor record review (preliminary and final) to ensure compliance to policies and procedures of NEDS and other governing bodies. This includes reviewing for all required data entry, test reporting and information sharing.
  • Completes additional information requests by processors in a timely manner.
  • Maintains all Electronic Medical Records (EMR) access.
  • Communicates effectively within NEDS and with all outside agencies including tissue processors and transplant centers.
  • Acts as a resource to all employees who document in donor records and perform other critical functions.
  • Maintains confidentiality of all donor and recipient information as described by current laws and regulations.
  • Attends regularly scheduled department meetings.
  • Implements the Quality Assessment and Performance Improvement plan.
  • Ensures the accuracy, security, confidentiality and availability of records in compliance with policies and procedures of NEDS and other governing bodies.
  • May include other responsibilities as assigned by Director, Quality Assurance.

Knowledge, Skills and Abilities:

  • Organ/Tissue Experience: strong working knowledge of organ and tissue donation processes and procedures. Knowledge of regulations and standards applicable to organ and tissue donation.
  • Detail Oriented: meticulous attention to detail
  • Computer & Application Literacy: proficiency in Microsoft Word, Excel, PowerPoint, Outlook, SharePoint and the ability to learn NEDS’ internal systems including, but not limited to, the clinical database.
  • Workload Management and Organization: ability to prioritize workload, adapt to changing priorities and deadlines. Manages a complex workload and competing priorities with strong attention to detail, organization and time management.
  • Interpersonal and Communication Skills: ability to critically think, problem solve and work individually and as a team to manage the daily workload. Demonstrates a high degree of service and support to both external and internal customers. Ability to foster a collaborative team environment.
  • Emotional Intelligence: demonstrates the ability to understand, use and manage emotions in positive ways to relieve stress, communicate effectively, overcome challenges and diffuse conflict.

Qualifications

  • Undergraduate degree preferred, or a minimum of one years’ experience in organ/tissue banking, medical records or Quality Assurance.
  • Working knowledge of medical terminology preferred.
