New England Donor Services (NEDS) coordinates organ and tissue donation in Connecticut, Maine, Massachusetts, New Hampshire, Rhode Island, the eastern counties of Vermont and Bermuda. Responsible for one of the largest of the 56 Organ Procurement Organizations (OPOs) that make up the nation’s donation system, NEDS works with over 200 hospitals and serves 14 million people in our region, screening nearly 55,000 potential donor referrals annually. With approximately $110M in operating revenues, NEDS employs 300 clinical and non-clinical staff members throughout New England and across the country.

Job Description
The Payroll Specialist is responsible for payroll administration, expense reimbursement processing, as well as maintaining the compensation and benefits components of the HRIS. Responsibilities also include certain accounting functions related to payroll and retirement plan transactions.
Payroll:
- Processes payroll within ADP Workforce Now System, including bi-weekly timecard review and payroll data entry. Ensures accurate pay calculations within ADP Workforce Now and IDI Time Bank Online.
- Works directly with payroll and expense reimbursement vendors to resolve issues as they arise.
- Responsible for wage garnishment within ADP Workforce Now
- Set up new tax jurisdictions and manage tax rate changes in ADP Workforce Now.
- Prepares monthly payroll journal entries, including payroll expense, retirement plan expense, benefit time accruals and adjustments and employee expense reimbursements.
Administrative/HRIS Management:
- Maintains employee data in the Concur and Fidelity systems (responsible for new hire and other administrative tasks as needed).
- Reviews and processes employee expense reimbursements within Concur and ADP.
- Assists in the administration of the ADP Workforce Now HRIS, including database updates, creation and updating of reports, setting up of new processes/modules and troubleshooting.
- Collaborate with Human Resources to administer the annual open enrollment set-up process in HRIS. Ensures changes are accurately entered in ADP, and transmitted to applicable benefit carriers according to set deadlines.
- Collaborates with department managers on timecard reporting, as needed.
- Assists in the preparation of the annual budget for payroll and benefits.
- Reviews quarterly tax returns and W2’s to ensure they are accurate.
- Supports retirement plan administration
- Conducts scheduled audits to ensure accurate and valid data.
- Provides back up for Accounts Payable and Accounts Receivable functions as needed.
- Supports preparation for annual audits including workers’ compensation, retirement plan and financial audits.
- Performs other tasks and projects as requested by the Finance leadership team.
Training:
- Provides training on payroll and Concur to employees and managers during New Hire Orientation and as needed.
Data Analysis:
- Participates in data collection, review and analysis to assist Finance leadership with special projects and problem resolution.
- Develops and maintains various finance and payroll data reports in both Excel and ADP Workforce NOW including ACA, imputed income, and FTE/headcount.
Qualifications
EDUCATION & EXPERIENCE:
- Bachelor’s Degree in business/accounting preferred.
- 4-6 years of experience as a payroll administrator, specifically with ADP Workforce Now payroll system.
- General business experience, preferably in a healthcare field, including in finance, accounting or human resources.
Data Analysis: ability to collect, analyze, and present data to identify patterns, trends, and relationships among variables.
Interpersonal and Communication Skills: strong interpersonal, written and verbal communication skills. Ability to critically think, problem solve, and work productively both independently and as a team participant.
Computer & Application Literacy: proficiency Microsoft Office suite. Working knowledge in ADP Workforce Now, Great Plains and ability to learn NEDS’ internal systems.
Skilled Presenter: Responsible for development and delivery of departmental presentations
Confidentiality: Proven ability to handle sensitive and confidential material.
Basic Accounting Skills: Proficiency in handling basic accounting procedures
CERTIFICATES, LICENSES, REGISTRATIONS:
- Certification as an ADP Payroll Specialist preferred.
