Job Description

Under the responsibility of the HR Director, your missions will be as follows:

  • Manage our Receptionist &Junior Office Manager and ensure the back-up missions during his absences (welcome the visitors and run the front desk, meeting rooms and our lunch space)
  • Coordinate building related issues and malfunctions
  • Guarantee safety standards by ensuring that all installations comply with local regulations (building, health, safety, safety codes, training, maintenance visits) and managing regular trainings on safety at work
  • Manage the budget of Office Management
  • Ensure the user-friendliness of the workspaces and develop our Green Policy on a daily basis
  • Coordinate wellness activities (sport classes, choir, rental of sports fields with the town hall …)
  • Manage orders for general services and negotiate with different providers
  • Coordinate the management of bookings for business trips (train, plane, hotel, taxi) via Egencia as well as negotiate hotel contracts & car rentals

Qualifications

You have 7 years minimum experience in a similar position within an international context.

Positive and smiling, you demonstrate a great sense of service; you are meticulous, with strong organizational punctuality and accuracy skills.

You like working in a team and you are well-known for your being personable and proactive. 

You have a good knowledge of the Office Pack (Excel Pivot Table). Your are fluent in English and French with very writing skills.
