Job Description

Manager is imposed with the following functions:


1) providing assistance in managing long-term contract with Fuqua School of Business of Duke University;
2) developing draft strategic plan of School and participating in development of University’s strategic plan;
3) developing draft Action Plan for the implementation of the School’s strategic plan;
4) acting as risk coordinator of School;
5) conducting official correspondence, within the framework of the powers granted, with state bodies and private organizations on the school’s operational activities, as well as on strategic partnership issues;
6) preparing documents for Academic Council, Managing Council and Board of Trustees of the University;
7) implementing operating activity of the School;
8)  providing organizational and logistical support for School’s events (open days, orientation week, graduation ceremony, etc.);
9) providing assistance to School’s management in performing the following functions: IT and Finance;
10) drafting memoranda on cooperation, agreements, contracts, etc. with international and domestic partners (within the competence);
11) coordination of the procurement process in the school;
12) to control management and storage, condition and safety of unit’s documents before submission of them to the University Archive;
13) to transfer files to the Archive according to the File Register of the unit;
14) To develop annual draft File Register of the unit;
15) To maintain document management of the unit; to issue, keep, store blanks of the University to be protected in the unit;
16) monitoring compliance with legislative requirements of the Republic of Kazakhstan for safety and health, standards, safety codes and regulations, as well as University’s labor safety and protection regulations by employees and faculty;
17) Participation in identification, evaluation, management and monitoring of risks within the framework of supervised direction;
18) timely and proper fulfillment of other orders of the Head of division and the University management within the framework of his/her responsibilities and powers.

 

In order to fulfill abovementioned functions, Manager executes the following duties:
1) Preparing required documents within long-term contract with Fuqua School of Business of Duke University (report check, drawing up minutes of the meetings for the meetings of Steering Committee, preparation of the certificates of the rendered services, making payment, etc.);
2) ensuring approval of Strategic plan, as well as Activity plan for Strategic plan implementation;
3) preparing reports and briefing notes under Strategic plan of School and Activity Plan for Strategic plan implementation, risks management (for example, reports on realized risks, Activity Plan, consolidated risks management, etc.);
4) preparing budget requests together with Financial Manager of School and monitoring budget execution in affiliated organizations of the University, if necessary;
5) drafting and ensuring signature and monitoring of contracts execution for procurement of goods, works and services, concluded with external suppliers, including contracts for visiting instructors;
6) requesting for amendments and/or additions to plan for procurement of goods, works and services;
7) coordinating issues on premises and infrastructure facilities, as well as space allocation (rooms, classrooms and conference halls);
8) monitoring compliance with policies, regulations and instructions in safety and health, fire safety by employees and faculty;
9) arranging hotel accommodation and visa for visiting professors;
10) timely and properly execution of assignments of Executive and the University’s management;
11) observe the requirements of the legislation of the Republic of Kazakhstan and the University’s internal documents;
12) perform job duties in good faith;
13) strictly respect labor and performance discipline;
14) observe provision of the University’s mandatory internal documents;
15) in case of dismissal or transfer to another position –pass all paper and digital information to another person, specified by Executive, under act of acceptance-transfer, and submit the inventory assets to the accountable officers of the University.

Qualifications

Education: Higher education, preferably with English as a language of instruction
