Job Description

  1. Assistance in the time management, daily work schedule and organization of meetings of the Dean;
  2. implementation of technical support for the activities of the Dean (ordering transport, tickets, organization of meetings, negotiations, etc.);
  3. preparation of necessary documents for annual leave and business trips of the Dean;
  4. participation in negotiations, business meetings of the Dean, maintaining protocols and other documents that draw up the course and result of meetings, negotiations;
  5. on behalf of the Dean, coordination of certain issues with employees of the structural divisions of the University, informing the School employees of the Dean's instructions and orders
  6. interaction with the structural divisions of the University within his/her competencies;
  7. making an appointment with the Dean, organizing the reception of the Dean's visitors: ordering passes and accompanying visitors, keeping a schedule of meeting rooms, tracking the state of meeting rooms before and after receiving clients (cleanliness, lack of unnecessary documents, availability of office supplies and their functionality);
  8. collection of materials and information required by the Dean, preparation of analytical, informational, reference and other materials on behalf of the Dean;
  9. records management, the Dean's correspondence receipt and documents acceptance for signing by the Dean, as well as maintaining records, processing and registration;
  10.  preparation of meetings and workshops held by the Dean (collection of necessary materials, notification of participants about the time and venue, agenda), taking and execution of the minutes at meetings and workshops;
  11.  proper maintenance of the Dean's documentation, timely submission of documents to the archive in accordance with the internal regulations of the University;
  12. conducting business correspondence with structural divisions, Schools and organizations of the University, within their competence;
  13. participation in the identification, assessment, management, and monitoring of risks within the framework of supervised direction;
  14. timely and proper fulfillment of other orders of the Dean, Head and the University  Management within the framework of his/her responsibilities and powers.

Qualifications

Education

Higher-professional, preferable from the higher education institutions with English language of instruction

Qualifications

Work Experience:

One-year minimum

No working experience with a master`s degree in the relevant
area

- Knowledge of the legislation of the Republic of Kazakhstan in the field of education;

- translation skills  the documentation  into English and paperwork running in English;

- skills for effective time management

- knowledge on the business etiquette  and business communication  rules and telephone conversations;

- ability to conduct a paperwork and a business correspondence in Kazakh, Russian and English;

-  ability to set goal, to define tasks and to plan for the medium and short term;

- knowledge of MS Office, Excel, PowerPoint;

- fluency in Kazakh, Russian and English
