Job Description

Specialist is imposed with the following functions:

1. registrate and process the incoming and outgoing correspondence in the electronic document management system;

2. participate in the development of normative documentation of the School;

3. make records and ensure the safety of documents and the School records accepted for safekeeping;

4. assist the Head and the Senior HR manager of the School in taking control over the timely and high-quality execution of documents and instructions from the management of the School by the School staff;

5. provide administrative support in daily operational work in School;

6. forming files in accordance with the approved File Register;

7. ensure timely processing of incoming and outgoing correspondence (documents, letters, faxes and etc.), its delivery to destination;

8. to control management and storage, condition and  safety of  School’s documents before submission of them to the University Archive;

9. to transfer files to the Archive according to the File Register of the School;

10. to develop annual draft File Register of the School;   

11. to maintain document management of the School;

12. to issue, keep, store blanks of the University to be protected in the School;

13. participation in identification, assessment, management, monitoring of risks within the framework of the supervised area;

14. timely and proper fulfillment of other orders of the Dean, the Head and the University management within the framework of his/her responsibilities and powers.

Qualifications

Education: Higher professional, preferable from higher education institutions with the English language of instruction.

Work Experience:

One-year minimum

No working experience with a master`s degree in the relevant
area

Priority specializations:

- other humanitarian specialties.

Professional competencies

- Knowledge of legislation in the field of documentation support and documentation control;

- knowledge of documentation control and rules of archives, system of storage and classification of documents; composition, content of documents and information retrieval systems;

- organizational skills;

- analytical abilities;

- discipline;

- knowledge of MS Office, Excel, PowerPoint;

- fluent knowledge of English, Kazakh, and Russian languages.
