Job Description

The Specialist performs the following duties and responsibilities:    
1)    preparation and execution of documents on issues within the competence of the School;    
2) collecting requests and necessary documents upon assignment;  
3) processing the School’s requests to the University’s private entities; 
4) conducting correspondence and assisting in timely resolution of issues related to the activity of academic affairs;
5) submission and control of documents related to the visa (including visa invitation letter) for faculty members to the respective department and registration of the arrivals from abroad (notification of the respective unit) in a timely manner;
6) processing of reimbursements related with personal shipment allowance, expatriation/repatriation allowance for air tickets, child education allowance, visa/work permit expenses, compassionate/ bereavement allowance for air tickets;
7) development of contracts for the provision of services with invited teachers, as well as the preparation and submission of reports, certificates of services rendered, invoices and other necessary documents upon request and necessity;
8) assistance in administering contracts with Classroom Assistants (CAs); 
9) administrating issues of School development and providing assistance in addressing the issues of the School operating activity;
10) ensuring compliance with internal documents of the University and legislation of the Republic of Kazakhstan as to protection and non-disclosure of confidential information by the School  employees;
11)    performs duties (replaces) of the Operations Manager of the School during his/her temporary absence (for up to one month).
12)    timely and properly executes the tasks given by the Line manager and the University`s management;
13)    responsible for compliance with labor and service disciplines;
14)    responsible for ensuring the integrity of official documents, and prevention of the disclosure or leakage of confidential and business information, as well as information of restricted access in accordance with the legislation, Charter and internal documents of the Employer; 
15)    in case of dismissal, responsible for the timely transfer of all paper documentation, digital information, inventory to another employee at the direction of the direct supervisor (according to the act of acceptance and transfer).

Qualifications

Education

Higher professional education, preferably in higher educational institutions with English language of instruction;
Priority areas of specialties:
- management;
- management in education;
- economics;
- finance;
- business administration;
- human resource management;                                                                                    - related specialties in the field of humanities

Work experience

With a Bachelor's degree / Specialist - at least one year.
Work experience is not required with a Master's degree in the relevant field.

Knowledge

- Knowledge of the legislation of the Republic of Kazakhstan in the field of education;
- knowledge of MS Office, Excel, PowerPoint programs.
