Job Description

Assistant is imposed with the following functions:
1) assisting the Dean, the Vice Dean and the Executive Director of the School  in organizing School’s work: correspondence and communication with instructors and students;
2) maintaining appointments calendar of the Dean, as well as assisting the Dean of the School  in preparing materials for presentation for the purpose of internal/external use;
3) submitting applications to private entities or structural divisions of University for management issues and monitoring their implementation;
4) dealing with organizational issues of School’s activities;
5) providing assistance in solving the issues of operating activity of the School;
6) organizing the School’s visitors meeting, where Dean and Vice Dean are participants; 
7) drafting Decisions of representation expenses of the School;
8) record keeping of the School  in accordance with internal documents of the University;
9) to control management and storage, condition and  safety of unit’s documents before submission of them to the University Archive;
10) to transfer files to the Archive according to the File Register of the School;
11) to develop annual draft File Register of the School;   
12) to issue, keep, store blanks of the University to be protected in the School;
13) registration of Decisions of the Dean, outgoing letters regarding the School s activities;
14)  control of incoming and outgoing correspondence through the electronic document management system;
15)  checking the compliance of outgoing letters and official memos;
16)  provision of the current official documentation security;
17)  receiving letters and parcels addressed to academic and administrative staff of the School  (hereinafter - the staff) delivered through post to Department of Documentation support and notifying the Staff about them;
18) organizing training in HSE issues for School  employees;
19)  providing reports and data on the issues within his/her competence upon request of structural divisions of the University in agreement with Head of the School;
20)  monitoring compliance with internal documents of the University on the issues within his/her competence;
21)  recording and tracking official instructions, given by the University management to the School  on the issues within his/her competence, as well as subsequent preparation of reports for the Head;
22)  providing technical and methodological assistance to School  employees on the issues within his/her competence;
23)  participation in identification, evaluation, management and monitoring of risks within the framework of supervised direction;
24) timely and proper fulfillment of other orders of the Head and the University management within the framework of his/her responsibilities and powers.

25) and other School related functions when it is required  

Qualifications

Education: Higher-professional, preferable from the higher education institutions with English language of instruction
Qualifications:      Priority specializations:
- Humanities and Social Sciences
Work experience: Required work experience is defined in accordance with standard qualifications for administrative positions at the autonomous organization of education “Nazarbayev University”
