Job Description
About the role
UC College is looking for an organised, detail-driven coordinator to lead examination administration for our pathway programs. This is a casual role. Hours vary with the examination calendar, with more hours during exam periods and fewer between them. As a guide, the role averages around 10–14 hours a week across the year. Outside peak exam periods, you'll support the Student and Academic Services team with defined coordination tasks.
What you will do
- Coordinate end-to-end exam administration: timetabling, venue management, and preparing exam papers, booklets and materials
- Appoint, train, roster and supervise exam invigilators, including invigilation for unit-specific exams.
- Interpret and apply assessment and exam rules, and advise and decide on arrangements such as deferred, supplementary and alternative exams within delegations
- Keep exam materials and records secure
- Coordinate the secure collection and handover of completed scripts, attendance records and incident reports to support results processing
- Liaise with academic staff, the University of Canberra exams team and other stakeholders
- Between exam periods, support orientation and enrolment administration, student evaluations, timetabling and system rollover, and process documentation
Qualifications
What you will bring
- Experience coordinating exams, events or similar time-critical activities with many moving parts
- High accuracy in managing student records and confidential materials
- The ability to interpret and apply rules and procedures consistently, and to explain your decisions
- Clear, professional communication with academic staff, students, invigilators and external stakeholders
- Experience with a student information system or similar database, and strong Excel skills
- The ability to resolve problems independently, including on exam days
- An understanding of the challenges facing pathway and international students
- A degree; or an advanced diploma with one year of relevant experience; or a diploma with two years of relevant experience; or an equivalent combination of experience and training
- A current ACT Working with Vulnerable People registration, or the ability to obtain one
Desirable
- Experience in exam or assessment administration, ideally in higher education
- Knowledge of legislation and policy relevant to international students, such as ESOS
- Experience training or rostering casual staff such as invigilators
