Job Description

The Assistant Student and Academic Services Manager has responsibilities for administrative leadership in Student Connect department and to provide comprehensive academic and student support services to students and academic staff at Curtin Singapore.

DUTIES:

Student Connect

  • Ensure all queries coming through Student Connect from all stakeholders are managed and addressed in a timely manner, including phone calls, emails and walk-ins.
  • Take lead in developing and managing all Customer Relationship Management systems.
  • Manage the Queue System at Student Connect.
  • Ensures that Student Connect meets operational needs and provides high level of service for all stakeholders.
  • Preparation of Student ID cards for new students and assist in replacement of Student ID cards for continuing students.
  • Process and prepare students’ letters and document requests, including certificates and transcripts, accurately and in a timely manner.
  • Manage lost and found items and ensure accountability.

Student Management

  •  
  • Manage students’ record and update students’ status on Student Management systems to ensure accuracy of record and academic status.
  • Advise students on course requirements, course variations and academic queries.
  • Assist with enrolment of new and continuing students, which includes students’ class registration and enrolment via the Student Management System
  • Provide support and assistance to students with academic systems enquiries.
  • Identify students in need of academic skills support and refer them to relevant support class.
  • Monitor academic progress to identify students at risk.
  • Assist in organising student academic advising session and briefing when required.
  • Ensure student academic progress is in accordance with regulations.

Student and Academic Support

  • Maintain up to date knowledge of course structures and academic policies and procedures.
  • Provide support and assist students with academic enquiries.
  • Support academic staff for course delivery requirements.
  • Assist in preparation of class lists.
  • Assist and support with counselling of students who do not meet attendance requirements and processing of students’ absence justification requests and lecturers’ manual attendance requests.
  • Assist in coordinating and facilitating the capturing of students’ bio data for the attendance system.
  • Check that the daily classroom schedules on the display monitors are correct and maintain the locations where classroom schedules are displayed.
  • Assist with the logistics and invigilation of tests and examinations.
  • Assist with the logistics for enrolment period.
  • Assist with student activities and campus events such as Orientation and Graduation.

People Management

  • Provide professional leadership to the team and assist in managing their workload to achieve departmental goals.
  • Promote best practice in all aspects of work, championing role model behaviour and delivery to maximise students’ learning experience.

Others

  • Plan and implement student and academic staff surveys, including the creation of the surveys, results compilation and analysis.
  • Prepare and analyse academic data and reports for Management.
  • Ad-hoc tasks assigned by the Senior Manager (Student Support & Services).

    Qualifications

    SELECTION CRITERIA:

    Essential:

    • A bachelor’s degree (or equivalent)
    • A minimum of two years’ experience in managing teams in a similar capacity.
    • Excellent communication (both verbal and written) and interpersonal skills.
    • Proven ability to meet deadlines and work with minimum supervision.
    • Well-developed time management and organizational skills.
    • High levels of initiative and problem-solving skills.

    Desirable:

    • Experience in academic administration and/or programme management, preferably in higher education.
    • Experience in working with international students.
    • Ability to adapt in a dynamic and past paced environment.
