Job Description

The Operations Coordinator will report to the Director of Operations within our Leisure division and will be responsible for supporting activities within the Travel Edge Network (TEN) division.  The Operations team supports the business through managing and optimizing the details that keep the organization running smoothly.

This role requires the Operations Coordinator to work a schedule of 11AM-7PM ET or 12PM-8PM ET.

Responsibilities: 

  • Assist with the management of daily operational activities.
  • Perform administrative tasks, such as saving documents, forwarding emails, scheduling meetings, etc.
  • Arrange and assist with the onboarding and/or offboarding of clients.
  • Assist with project management by creating assignments, tracking progress, and resolving issues.
  • Manage internal and external stakeholder relations.
  • Prepare and maintain operations documents and reports.
  • Support the advisor service network with intelligence gathering efforts; including surveys, focus groups, etc.  
  • Create and maintain intranet support material (content and redesign).
  • Manage and administer TEN accounts with external suppliers’ online portals.
  • Manage and administer internal tools and platforms such as Jotform, Smartsheet, Active Campaign, Calendly, GoToWebinar, etc.
  • Collect data and maintain accurate company or departmental records.
  • Providing staff with the necessary support and resources to effectively do their jobs to the best of their abilities.
  • Liaise with clients and relevant corporate personnel at all levels.

Qualifications

  • 3-5 years experience in office management or an administrative role in a corporate environment.
  • Excellent verbal and written communication skills.
  • Able to build and maintain lasting relationships with employees, clients, and other corporate departments.
  • Excellent organizational and time management skills.
  • Proficiency in Microsoft Office.
  • Ability to multitask and prioritize.
  • Self-starter with strong problem-solving skills.
  • Proven ability to learn new technologies and platforms.
  • Ability to work efficiently with minimal supervision.
  • Knowledge of travel industry an asset.
  • Post-secondary education in a related field.
  • Solid analytical and problem-solving abilities.
  • Project Management skills an asset.
