Job Description
We are seeking an experienced and proactive Fleet Operations Manager to oversee and optimize all aspects of our vehicle fleet operations. The ideal candidate will possess a strong understanding of logistical operations, excellent data analysis skills, and outstanding communication and supplier relationship management abilities. This role is crucial for ensuring the efficiency, compliance, and cost-effectiveness of our fleet operations.
Key Responsibilities:
Fleet Operations Management:
- Supervise daily fleet operations, ensuring efficiency and compliance with company policies (contract management, amendments, fines, etc.).
- Manage vehicle usage data within designated tools.
- Maintain accurate records of fuel consumption and kilometers driven, using spreadsheets or management software.
Performance/Data Monitoring:
- Compile Key Performance Indicators (KPIs) for vehicle performance, energy efficiency, and maintenance records to identify trends and issues.
- Integrate and enter data related to fleet operations into management systems.
Communication/Training:
- Provide informed advice on vehicle selection, demonstrating a strong knowledge of vehicle specifications.
- Assist drivers with their requests and respond to inquiries from sponsoring entities.
- Facilitate training sessions for new fleet agents and conduct team meetings.
Budget/Invoicing:
- Validate rental invoices and verify non-compliance issues (rental, return, etc.).
- Contribute to the budgetary management of fleet operations.
Coordination with Suppliers:
- Act as the primary intermediary with the rental company and its service providers for questions related to contract management and other situations requiring intervention (resolution of accidents, damages, insurance, etc.).
- Ensure the quality and timeliness of services provided by external suppliers.
- Liaise with other fleet-related suppliers.
Reporting/Documentation:
- Prepare documentation and procedures related to fleet activities.
- Make necessary updates to keep information current and relevant.
Compliance Controls:
- Ensure that all operations and fleet controls comply with regulatory requirements and company policies.
Qualifications
- French Speaker and English proficiency are mandatory.
- Analytical profile; detail-oriented; with good communication skills mandatory.
- Experience in fleet operations management or a related field.
- Solid analytical skills and the ability to interpret complex data.
- Ability to manage multiple tasks simultaneously and meet deadlines.
- Strong organizational skills and attention to detail.
- Understanding of current regulations pertaining to fleet management.
