Job Description
I. Summary
Reports to: Director of Events
Status: Full-Time, Exempt
Incredible opportunity to get your start working in events. Be part of a team that oversees a range of engagement and fundraising events for the Nashville Symphony that happen throughout the year. Signature events include: Symphony Fashion Show, Symphony Ball, Stradivarius Society Dinner, Patron Appreciation Concert, Musician Recognition Dinner, Volunteer Recognition Dinner, Spirits of Summer and more.
II. Primary Duties and Responsibilities:
1. Assist in execution of fundraising events for the Nashville Symphony
a. Production of fundraising events: assist with site logistics- such as creating floor plans and event day timelines, communicate plans to operating departments and provide on-site coordination – including third party vendor logistics, during events
b. Create, maintain and distribute event information to all relevant internal departments, including providing updates as details change
c. Maintain necessary supplies for ongoing events throughout the year, such as food and drink for the Symphony’s donor lounge (Founders Hall).
d. Assist with invitation and RSVP processes for each event.
e. Assist with invoicing and processing checks for patrons and partners as needed for event related activities.
f. Oversee process of getting thank you letters/tax receipts to all event participants in a timely manner after the event
g. Ensure details of patron engagement/participation with our events are well- documented in Tessitura.
h. Ensure database is up to date with event related, donor information changes
i. Assist with making sure event related web pages are up to date with the latest information
j. Assist with donor/patron communication related to each event
2. Assist with the ongoing engagement of event volunteers for the Symphony’s large fundraising events that happen throughout the year.
3. Assist the Director of Events and CDO on projects as needed
4. Other duties as assigned
The duties listed above are not all inclusive. The person in this position is expected to perform other work-related duties as assigned even though they may not be considered primary duties.

Qualifications
Work Requirements and Qualifications
1. Experience
Minimum of one year experience in event coordination and/or fundraising or an equivalent client-focused environment preferred
2. Knowledge, Skills and Abilities
Excellent written, verbal communication and editing skills
Highly organized with the ability to prioritize multiple requests and handle multiple tasks on deadlines
Understanding of needs and perceptions of volunteers, donors and internal staff to effectively keep events on time and on budget
Outstanding capacities for personal presentation, self-motivation and initiative, accuracy, follow-through, timeliness, consistency
Ability to work independently and use independent judgment while keeping supervisor informed of work activity and issues
Excellent customer service
Ability to work as part of a team, with a positive, helpful attitude in developing creative response and solutions to needs and issues
Ability to maintain the strictest confidence and utmost honesty
Ability to work flexible hours, including several evenings a month, to accommodate meetings as well as cultivation events and special events
