Job Description

OVERVIEW

We are seeking a highly capable Facilities Coordinator for Aurinia’s Victoria, BC office. The coordinator will be responsible for essential services such as reception, safety, maintenance, mail, archiving, catering, waste disposal and recycling. They will ensure the building meets health and safety requirements and that facilities comply with legislation. Overall, the goal will be to keep staff safe and facilitate a space they can thrive in.
The facilities coordinator will provide support to the Associate Director of Global Facilities with operational activities in stocking supplies, managing the café and equipment, maintaining copy centers, escorting visitors, receiving mail and packages, misc. duties as assigned, and ensuring that expected service levels are achieved.

JOB RESPONSIBILITIES

Service Delivery
• Actively support an environment of teamwork, cooperation, performance excellence, and personal success.
• Conduct daily walkthroughs to ensure a clean and organized office. Identify opportunities for improved operation and service excellence, making recommendations for conduct site inspections and assessments to ensure all building procedures and performance measures are maintained at all times and the provision of a safe workplace.
• Schedule and manage repairs and maintenance, minor works and other work requests, tracking to completion.
• Provide information and direction to vendors and other service providers as required to ensure excellent coordination and execution of work, with minimal disruption.
• Assist in the procurement of vendors and services as required.

Coordinate the delivery of site amenities which may include:
• Food services, transportation, support moves as required and act as the site key point of contact.
• Provide coordination and support events, meeting and conference facilities as required.
• Coordinating site operations in accordance with all agreed policies, procedures and contract scope.

Other duties that may include but are not limited to:
• Maintain and propose emergency response plans including evacuation, implementation of after-hours emergency response, and environmental health and safety.
• Reception and guest support, mail and courier services, office supplies and equipment maintenance, landlord relations and safety and security support.
• Client Relationship Management
• Ensuring all new hires receive a building swipe pass, building tour and health and safety orientation (led by the Coordinator)
• Collecting Aurinia property from employee’s leaving employment

Qualifications

• 2-4 years of experience in a similar role in a professional services organization
• Knowledge of Worksafe BC and health and safety legislation
• Ability to comply with all requirements of the client contract and meet or exceed Key Performance Indicators.
• Exceptional customer service focus with the desire to create a positive working environment for all employees.
• Ability to act with a sense of urgency, use good judgement and prioritize tasks.
• Excellent organizational skills and attention to detail.
• Excellent interpersonal and communication skill
