The role is based in Hemel Hempstead, working Monday to Friday and will report to our Bid Support Manager.

Job Description

What Does the Role Look Like

We are seeking a proactive and detail-oriented Bid Support & Frameworks Executive to join our dynamic team.  You’ll play a critical part in supporting bid submissions and managing strategic frameworks to help drive our growth.  This position offers an excellent opportunity to develop your career in a fast-paced, collaborative environment.

We pride ourselves on being the centre of excellence in bid management and production to support the business to create winning bids.  Because we work across the business, we bring our knowledge of other bids and successful contracts to each of the bids on which we work.  As part of the team, you’ll manage the interaction between NEC, our customers and the public sector organisations.

Key tasks include:

  • Administration of the central mailboxes, which involves processing and actioning internal and external emails in line with company processes and procedures.
  • Working with bid managers and colleagues to prepare tender and proposal documentation, including template set up and completing standard company information.
  • Processing clarifications received from customers and ensuring they are distributed and action in line with bid process.  Uploading documents and correspondence to internal and external portals, ensuring robust document control.
  • Formatting tender documentation for final submission to the customer and uploading tender submissions to procurement portals in line with ITT requirements.
  • Graphic creation and editing.
  • Reviewing and processing tender notices, including completion of portal registrations and maintaining and updating NEC corporate information on external web sites.
  • Provide advice and guidance to colleagues and external customers on which frameworks NEC has been awarded a place and what can be procured through each.
  • Produce the required management reporting for the external public sector bodies owning the frameworks and for the internal Senior Management Team.
  • Undertake other administrative tasks for the other functions within the team as required.

Qualifications

What We’re Looking For

  • You’ll be organised, structured, and a good team player within an office environment and able to work unaccompanied.
  • You’re self-motivated, enthusiastic, committed, articulate, accurate and flexible and have good attention to detail, to ensure compliance with tender requirements.  You can multi-task effectively and able to work to tight deadlines.
  • You’re computer literate with the ability to use the Microsoft Office product suite (particularly Word) with good keyboard skills.
  • You have the ability or potential to learn to format documents using templates and styles, following corporate branding guidelines and customer tender requirements.
  • You have an English and maths qualifications, with a good command of English grammar, and numeracy.
  • Your excellent listening and verbal communication skills will help build relationships with colleagues and when dealing with customer enquiries.
  • You have experience of contributing to process improvements, offering ideas to help us do even better.
