Job Description

Administrative, Technical, and Executive Duties

First: Workflow Coordination and Follow-Up

  • Receive and organize requests and correspondence addressed to the Office of the Head of Risk Management according to priority.
  • Follow up on correspondence and requests with the departments, divisions, and sections reporting to the management.
  • Direct requests to the relevant parties within the management according to the nature of the matter and the instructions of the direct manager.
  • Monitor the progress of requests and tasks among departments, divisions, and sections, ensuring adherence to established deadlines.
  • Prepare tracking schedules for tasks and directives issued by the direct manager.
  • Follow up on the implementation of decisions and directives with the concerned parties and report the completion status to the direct manager.
  • Identify any delays or observations affecting workflow and escalate them to the direct manager for appropriate action.
  • Monitor urgent or high-priority cases and ensure timely escalation when required.

Second: Administrative and Organizational Support

  • Organize the direct manager’s schedule, including internal and external meetings.
  • Coordinate meetings with relevant departments, divisions, sections, and branches.
  • Prepare meeting agendas as needed and arrange the required files and supporting documents.
  • Record meeting minutes, recommendations, and decisions.
  • Prepare follow-up schedules for meeting minutes and monitor progress with the concerned parties.
  • Organize and maintain official correspondence, documents, and administrative files related to the management.
  • Assist the direct manager in monitoring urgent or important matters by highlighting critical issues.
  • Arrange reservations and logistical requirements for meetings or official assignments as needed.
  • Coordinate with relevant parties to prepare presentations, files, or documents required for senior management meetings or related committees.

Third: Reports and Data

  • Prepare periodic administrative reports on workflow within the Risk Management Department based on the direct manager’s instructions.
  • Prepare reports on business volumes, requests, or open and closed matters within the management when required.
  • Follow up on the preparation and collection of data from the relevant departments and divisions for submission to the direct manager.
  • Maintain and organize a database for follow-ups, correspondence, and administrative requests.
  • Update tracking schedules and ensure the accuracy of the data entered.
  • Prepare periodic summaries of achievements, developments, and outstanding matters.
  • Provide support in preparing presentations, schedules, and files required for management meetings.
  • Ensure the accuracy of data and reports before submission to the direct manager.
  • Follow up on reports required by the Risk Management Department and ensure their receipt within the specified deadlines.

Fourth: Correspondence and Documentation

  • Review and organize incoming and outgoing mail and correspondence before presenting them to the direct manager.
  • Draft letters, correspondence, and emails as directed by the direct manager.
  • Follow up on responses to official letters and correspondence with the relevant departments, divisions, and sections.
  • Maintain official letters, reports, and correspondence in an organized and easily accessible manner.
  • Handle sensitive management-related correspondence and information with confidentiality and reliability.
  • Ensure that all required attachments and documents are complete before sending or submitting any correspondence.
  • Classify and maintain administrative files related to meetings, correspondence, reports, and tracking schedules.

Fifth: Operational Support for the Management

  • Support the departments and divisions under the Risk Management Department in organizing administrative requests and following up on operational requirements.
  • Follow up on management requests related to Human Resources, Administrative Services, or Information Technology when required.
  • Coordinate requirements related to consultants, partners, or other relevant entities as assigned by the direct manager.
  • Assist management staff in standardizing templates and administrative forms used for follow-up activities.
  • Provide the necessary administrative support to ensure the efficient execution of the department’s activities.

Qualifications

  • Education: Bachelor's Degree
  • Field of Study: Finance and Banking Sciences, Accounting, Business Administration, or an equivalent discipline.
  • Total Years of Experience: 1 to 3 years.
