Job Description

  • Follow up on all tasks related to the office of the direct manager, including communication with concerned parties, monitoring workflow, and submitting reports.

  • Review all correspondence and incoming/outgoing mail accurately before presenting it to the direct manager.

  • Supervise all correspondence and mail directed to the relevant entity, receive instructions regarding responses and actions, and deliver them to official parties as per the direct manager’s guidance.

  • Handle non-routine correspondence, including drafting replies and responding to inquiries.

  • Assist the direct manager in decision-making by highlighting critical points through continuous follow-up and coordination.

  • Attend most meetings with the direct manager to take notes and prepare summaries for follow-up purposes.

  • Prepare minutes of meetings related to the weekly meeting with management members, create a follow-up schedule, and monitor department heads and managers regarding achievements and updates.

  • Make necessary arrangements for meetings or workshops attended by the direct manager, coordinate with organizing parties, remind the manager of them, and provide required information.

  • Follow up on hotel and restaurant reservations for the direct manager’s travel, meetings, and conferences.

  • Handle sensitive correspondence and information, maintain confidentiality of the information contained, and ensure all means are provided to achieve this.

  • Communicate with external parties at the request of the direct manager to coordinate and follow up on all matters.

  • Prepare periodic reports as requested by the direct manager.

  • Perform any other tasks and responsibilities assigned by the direct manager.

Qualifications

  • Knowledge of terminology used in the banking sector.

  • Knowledge of the laws and regulations governing the bank and its branches.

  • Knowledge of how to prepare for meetings, draft correspondence, arrange appointments, etc.

  • Knowledge of how to write reports and meeting minutes.
