Job Description

To support the Human Resources team in administrative and operational activities, contributing to the efficient execution of HR processes such as payments, employee records management, onboarding, and internal communications, while gaining practical experience and knowledge in HR practices.

KEY RESPONSIBILITIES:

RECRUITMENT & SELECTION

  • Opening the position in myHR and filling the vacancy information in Smart Recruiters
  • Sending and tracking the Background Check

HIRING

  • Completion of hiring information in Click Boarding
  • Sending the necessary information to the CIEE for the preparation of the internship contract
  • Sending the welcome email to the candidate with all the hiring guidelines and illustrative material about our benefits
  • Follow-up to receive the documents and information necessary for registration of hiring
  • Scheduling of hiring medical examination
  • Issuance of letter for opening of salary account
  • Responsible for registering the hiring in myHR and communicating the hiring to the Payroll LATAM team
  • Intermediation with providers for inclusion and activation of corporate benefits
  • Monitoring the delivery of benefit cards
  • Request for an access badge to the Facilities Security teams
  • Follow-up with the IT team on the delivery of work equipment and scheduling for configuration of laptop and corporate mobile (when applicable)
  • Follow-up with the payroll team to receive the hiring documentation
  • Checking the information contained in the contracting documentation
  • Preparation and editing of hiring documents, as well as sending by Docusign for signature
  • Creation of physical and electronic files

HIRING OF TEMPORARY WORKERS AND THIRD PARTIES

  • Responsible for communication with Randstad, the company responsible for hiring temporary workers and third parties, to ensure that the hiring process is completed successfully and in compliance with current legislation

BENEFITS

  • Responsible for the inclusion and exclusion of beneficiaries, for changing the category of a particular benefit as a result of promotions and for ensuring that our benefits are in full operation for all users
  • Monthly sending of the amounts to be paid in the VA, VR and VT of each employee
  • Responsible for the control, conference and payment of all invoices related to our benefits
  • Responsible for the interface with the providers to solve problems and identify opportunities for improvement in the provision of services

SAFETY AND HEALTH AT WORK

  • Control and scheduling of periodic medical examinations in partnership with our two occupational clinics
  • Responsible for the monthly payment of occupational clinics
  • Entering EHS-related information into the Gensuite system

PAYROLL

  • Control  of the  Time Sheet: Control and manual calculation of the timesheets and sending of the consolidated information to the Payroll LATAM team through spreadsheet; training for new employees and guidance and support to employees on a daily basis

TERMINATION

  • Scheduling of dismissal medical examination
  • Sending the termination survey
  • Request credit card cancellation (if applicable)
  • Alignment with the employee / IT for the delivery of the equipment to be returned

PAYMENTS

  •  Responsible for administering, controlling, checking, posting and archiving monthly all payments related to HR

VACATION

  • Timely delivery of vacation notices and receipts to employees
  • Sending of vacation notices and receipts by Docusign for signature

HR EVENTS

  • Communication and support about events and projects for all employees in Brazil

Qualifications

Basic Requirements: 

  • Must have unrestricted work authorization to work in Brazil.
  • Currently enrolled in a higher education program in Human Resources Management or Business Administration
  • Advanced English
