As an integral part of our HR department, you will play a key role in supporting various HR functions, including talent acquisition, employee relations, performance management, and workforce development. You’ll work closely with both leadership and employees to ensure the alignment of HR strategies with business goals, while helping to create a culture that promotes collaboration, growth, and innovation. Job Description
You will be responsible for providing effective and comprehensive HR support across all of our businesses in Japan to enhance the employee experience. The key result areas of your role include HR operations and systems, Payroll & Benefits, HR Data and Analytics, employee relations and services, and employee life cycle management.
You will report to the HR Director for Japan and partner closely with the broader HR community in APAC, as well as business managers in Japan.
Key Responsibilities:
HRIS, Data Analytics and Reporting
- Manage and own all systems of record (e.g., HR data in HRIS). Ensure e-files are created, updated, and archived as required, in a timely and accurate manner.
- Ensure data security and compliance.
- Participate in Global HRIS Projects and other projects as required.
Payroll & Benefits
- Ensure smooth monthly payroll processing and key timelines are adhered to.
- Manage payroll outsourcing vendor for improved employee services. Review outsourcing services on a regular basis to improve productivity.
- Partnering with Global Benefits Team and external HR vendor management, facilitate timely renewals of benefits, payment processing and smooth employee experience on benefit claim matters.
Employee Lifecycle and Experiences
- Administer end-to-end employee lifecycle process from onboarding to offboarding.
- Facilitate induction programs, new employee orientation training, and exit interviews for both new hires and departing employees.
- Provide support to the design and implementation of employee experience programs
Employee Relations and Services
- Provide advice and procedural guidance to managers and employees on employee-related matters, including, but not limited to, attendance/performance management, disciplinary actions, grievances, and organizational changes, in compliance with legislation and company policies.
- Ensure consistency and full compliance of HR policies, practices and processes
- Partner with the employment law team to review and update the employee handbook to reflect legislative changes.
- Manage and respond to more complex HR queries and requests promptly.
- Serve as first contact for employee on welfare, safety and wellness and advise employees on multiple support venues, such as the company doctor and EAP.
Other Support
- Coordinate training/learning program logistics as needed
- Participate in global HR programs as needed
Qualifications
Basic Requirements:
- 3-5 years of HR operational experience.
- Fluent in both English and Japanese. Able to use English effectively as a working language.
- Excellent computer skills, including proficiency in Microsoft Office (Word, PowerPoint, Excel), and advanced proficiency with HRIS systems.
- Experienced in data analysis and interpretation
- Demonstrated ability to practice discretion in handling sensitive and confidential information.
