Job Description

The Administrative Assistant will be responsible for managing the day-to-day administrative functions. Duties include, but not limited to: schedule management, meeting coordination & minutes, managing a variety of administrative duties and assisting with day-to-day support. This is a full-time position in NBCUniversal's Technology team and will provide high-level, comprehensive administrative support to multiple vice presidents of Film and TV Studios Technical Operations.

Responsibilities:
• Serves as first-line of defense with the high volume of communications of phone and email

• Completes a broad variety of administrative tasks. Responsible for proactively managing/coordinating daily schedule/calendar, contacts, travel arrangements, meetings (internal and external), conferences, and seminars

• Performance administrative tasks for tracking and submitting office and vendor purchase requisitions
• Arranges and schedules numerous meetings involving executives; maintain and update calendar; develops and maintains relationships with executive assistants throughout the company; determines importance of meeting requests and schedule accordingly; demonstrate flexibility, patience and persistence in routinely rescheduling meetings 
• Arranges travel and all accommodations including comprehensive and detailed itineraries; process reimbursement and expense reports in accordance with established policy guidelines; track expenses and follow-up in timely manner

• Solely provide back-up support for the CIO’s executive assistant in full capacity. Including providing seamless support in the EA's absence.

• Work with the CIO’s office to ensure complete coverage for him and his direct reports at all times
• Provides a bridge for smooth communication; demonstrates ability to maintain credibility, trust and support with senior management staff

• Manage department files, including electronic document systems, intranet web sites, wikis, and web-based project management tools
• Responsible for the timely preparation/compilation of data/edits and distributing reports, forms, and documents. Creates and edits presentations, agendas, spreadsheets, communications, databases, and reports
• Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures
• Responsible for excellence in complex meeting/event preparation (Telepresence events included) set-up, and follow-up including preparing presentations/agendas/materials, documenting notes, and coordinating follow-up items to completion, arranging for food/drink
• Responsible for drafting and editing correspondence
• Responsible for developing and maintaining efficient and accurate record keeping/filing systems

• Performance administrative tasks for tracking and submitting office and vendor purchase requisitions
• Manages general office and administrative tasks, including ordering of renewing memberships and subscriptions, managing distribution lists, expense reporting, etc. 
• Manages special projects as designated and assist other department members as necessary and acts as back up for other assistants on team 
• Plan and organize special events, group meetings, corporate training, and other employee events
• Manage department files, including electronic document systems, intranet web sites, wikis, and web-based project management tools
• Communicate with peers and direct reports including VP level, directors, and managers for various requirements and maintain confidentiality as necessary
• Perform other duties as assigned

Qualifications

• 5+ years of related experience as an Administrative Assistant or comparable level, or an equivalent combination of education/experience
• High school diploma is required; BA/BS degree preferred
• Proficient computer skills and expert knowledge of all Microsoft Office programs including PowerPoint, Excel, Word and Outlook 
• Excellent written and verbal communication skills 
• Proven ability to collaborate in an administrative team environment

Hybrid: This position has been designated as hybrid, generally contributing from the office a minimum of three days per week.
