Job Description

The Data Assistant works closely with the Maternal and Child Health team to ensure an ongoing coordinated and collaborative data collection and data management system. The Data Assistant provides administrative support to the Maternal and Child Health Program Manager and to Project LAUNCH staff. Responsible for data entry, data quality assurance, and data management across programs. 

KEY ACCOUNTABILITIES: 

  1. Data Management and Reporting - Manages data for the program and is responsible for reporting. Completes required assessments, analysis, follow-ups, and/or reporting within specified timeframes.
  2. Data Collection  - Schedules and conducts initial intake, data collection, and follow-up with potential and enrolled program participants. Reports results to program staff and manager during weekly team meetings. Follows-up with patient interest cards and phone calls regarding the program.
  3. Data Entry - Responsible for the completion of data entry into data systems.  Ensures data integrity. Monitors data for accuracy, problems or aberrations are reported to the manager. Maintains all program data systems and processes and keeps them up-to-date. Maintains confidentiality of client information at all times.
  4. Administrative Support  - Serves as the administrative support to program. All required program inventory is ordered (program supplies, materials, and equipment). Works with supervisor to manage inventory, ordering and other travel/training and reimbursements for program and department staff within established financial parameters. Expected to collaborate closely with Community Health and Wellness Administrative Assistant.  The Data Assistant will also be responsible for assigning home visitor caseloads as needed, tracks referrals and ensures follow up is completed.
  5. Supports the organization as needed.

Qualifications

QUALIFICATIONS/EXPERIENCE/REQUIREMENTS:

  1. Associate Degree in Office Management, Data Management, or related field required. Preferred Bachelor Degree in Business, Data Management, Public Health Research/Data Evaluation or related field. One year of experience working with data preferred.
  2. Specialized experience; preferably with research, data management, and evaluation.
  3. Possess a valid and unrestricted Arizona driver’s license (within 30 days of hire if applicant is from out-of-state) with no DUI/DWI or reckless driving convictions in the last five years. No more than two at-fault accidents in the last three years. Must maintain a valid AZ driver license during employment. Must be insurable by NATIVE HEALTH’s liability auto policy.
  4. Must pass a criminal background check with a Class I Fingerprint Clearance Card within the initial ninety (90) calendar days of employment.
  5. Must pass substance abuse testing upon employment, and submit to random testing during the course of employment.
  6. Must have an updated Immunization Record.
  7. Must have a current (within 12 months) Tuberculosis (TB) skin report upon employment and provide and update annually.
  8. Must obtain a CPR Card within ninety (90) days calendar days of employment and maintain a valid CPR card during employment.

KNOWLEDGE, SKILLS AND ABLITIES:

 

  1. Familiarity of the cultural, social, and economic backgrounds of various ethnic populations.
  2. Advanced use of software applications such as MS Word, EXCEL, PowerPoint, and Outlook. Must be familiar and comfortable performing data entry and computer functions.
  3. Must be detail oriented.
  4. Possess the aptitude for research/data integrity and understand IT terms.
  5. Ability to provide written and oral reports and evaluations concerning data collection and data management.
  6. Ability to maintain confidentiality of client information.
  7. Demonstrated ability to communicate effectively, orally and in writing.
