Job Description

General Responsibilities

  • To supervise and train the Chief Pursers onboard Mystic Cruises and Mystic Ocean vessels.

  • To visit vessels on a regular basis and to ensure that company standards are followed, and operation is running smoothly at all times.

  • To replace Chief Pursers onboard any vessel in case of short notice sign off or similar.

  • To create and to maintain existing Standard Operating Procedures (SOPs) for the operation onboard.

  • To take necessary steps to gain maximum efficiency in all onboard processes and to continuously look for ways to improve and automate processes.

  • To create and to update existing financial reports as needed. This includes but is not limited to revenue as well as cost reports and payroll related files.

  • To ensure the payroll is done onboard the vessels as required by company standards, to do spot-checks monthly, to send payslips to all employees in the end of each month and to close the payroll month.

  • To set up and to maintain existing wage scales in the HR System and to always ensure correctness of such.

  • To set up and to maintain the PMS system with information such as: cabin numbers & categories, crew positions, cost centers, quick codes etc.

  • To set up and to maintain the POS (Point of Sales) with all PLU numbers, item descriptions, price records, menu layouts etc.

  • To create and maintain existing system manuals for users onboard and to train them on modules such as Check-In, Accounting, POS etc.

  • To create cash forecasts and order money for the vessels.

  • To verify the cashbooks for all vessels after each end of cruise.

  • To work closely with HR department for rotation and hiring of Chief Pursers.

  • To work closely with Accounting & Finance department ashore for any financial topics.

  •  To communicate closely with IT department for any challenges within systems and applications.

  • To be familiar with the Company’s SMS.

  • To be familiar with the Collective Bargaining Agreement for both, hotel as well as Deck and Engine

Financial Responsibilies

  • To ensure correctness of the payroll for all crew onboard the vessels and to close the payroll month after completion.

  • To create and to maintain existing financial files such as revenue and cost reports.

  • To create financial policies, files and documentation.

Qualifications

  • Accounting degree or Higher Education in this field is a plus.

  • Minimum of two (2) years’ experience in a similar position required.

  • Must be fluent in written and spoken English.

  • Additional language skills such as German or French are beneficial.

  • Excellent interpersonal and public communication skills.

  • Must have good administrative skills (proficient in Adonis, MXP, Excel and good knowledge in Microsoft Office applications).

  • Excellent accounting, administrative and organizational skills.

  • Must possess excellent leadership skills.

  • Must be able to communicate and implement corrective action steps in an effective, yet diplomatic way.

  • Must be able to remain calm under pressure.

  • Needs to have an outgoing personality and has to possess a positive attitude, maintaining a friendly and approachable demeanor at all times

When onboard

Safety Responsibilities

  • Making sure that crew and passenger manifests are always up to date and there are printed emergency lists available;
  • To be familiar with Ship´s Emergency plans;
  • To be familiar with Safe Working Practices;

Emergency Duties

  • To follow instructions on Safety Card;
  • o To participate in Guest/Crew Lifeboat Drills as per instructions;
  • Other safety responsibilities, as assigned, but not limited to the above;


Team Education & Training

  • Ensure introduction of Job Duties and Departmental functions including continuous on the job training for Reception, Assistant Purser, Shop Manager as well as Spa Manager;
  • Identification and Development of all Crew members with supervisory potential;
