Job Description

Itinerary Planning

  • Plan worldwide deployment for multiple cruise brands and charter clients in conjunction with senior management and ownership.
  • Optimize all itineraries for speed, fuel consumption, port rotations, logistics, potential tax exemptions and port costs.
  • Constantly make changes, updates and re-deployments based on several factors (Berth availability, health & Safety requirements)
  • Monitor competition and ensure adequate product/price positioning.
  • Liaising with Charter Clients, Heads of Sales, Marketing & Commercial before each planning season to identify the Company’s itinerary requirements and then develop an itinerary strategy.
  • Planning the annual calendar of cruises for the fleet
  • Analysis of various statistics including Market trends and financial and sales performance.
  • Continually researching new cruise ideas and regions
  • Analyzing destination performance statistics and charter feedback to determine guest satisfaction and destination suitability for developing future cruises.
  • Researching new destinations and areas for scenic cruising.
  • Conduct port inspections to determine adequacy of port and berthing facilities, to evaluate safety and accessibility for the vessels and guests.
  • Understanding navigational charts and using ECDIS software to check distances, predict tides and potential weather patterns.
  • Ensuring the cruise concepts are understood and delivered through effective communication internally and externally.

Port Operations

  • Annual budget planning and monitoring
  • Establish and appoint port agency partners globally and build report, trust and excellent partnerships.
  • Create and update PDA templates as well as vessel specifics, pilot cards and side profiles (shell door maps)
  • Prior to the first seasonal call, forward billing instructions and re-appointments to the agencies.
  • Present partnering recommendations to the CEO.
  • Remain in constant communication with local partners regarding port bookings, pda updates, clearance procedures, port requirements & COVID Protocols.
  • Influence the booking of the port calls and berth allocations to ensure they align with the intended cruise concept and proximity to the old town (if applicable).
  • Main point of contact with the vessel & agent
  • Continually build and develop relationships by scheduling monthly calls to discuss corporate and vessel updates.
  • Port Cost MXP module to be used for settlements and potential budgeting.
  • Receive and file updated PDA estimates as well as FDA and invoices from agencies
  • Forward invoices to “Ports” distribution group
  • Follow-up payments with accounts payable.
  • Coordinate pre-funding of port costs as needed (depends on destination and agency)
  • Coordinate any special deliveries with the agency
  • Coordinate any special requests from operations, human resources or technical department.
  • Coordinate any special pilotage with the agents
  • Coordinate any special permits with the local agents

 

Qualifications

  • Nautical college or International Shipping Management Bachelor
  • Knowledge in Port vetting
  • Extensive experience in using ECDIS software
  • Minimum 5-year work experience in the port, destination, or itinerary planning
  • Experience in Expedition cruise market would be an advantage
  • Experience and confident working with diverse teams with a keen drive to deliver excellent results
  • Confident with Microsoft Office programs
  • Can solve problems independently
  • Agility to adapt to various strategic priorities/ whilst delivering day to day operational logistics
  • Excellent communication skills, both verbal and written in English is required for this role
  • Knowledge in creating operational manual
