Job Description

We are seeking an ambitious Accounts Payable Coordinator to provide support to the financial functions of shoreside reservations and operations by processing, reconciling, and managing vendor and financial records while performing administrative duties to support the Finance department. This individual must be comfortable working with both internal and external customers, must have excellent organizational and customer service skills and be able to multi-task, including processing and verifying invoices, fielding calls from vendors and performing check runs.

Responsibilities

  • Reconcile, prepare, and distribute weekly reports for balances due on future sailings and company-wide vendor invoices.
  • Review statements, research and reconcile prior balances and payments.
  • Communicate with vendors and outside departments to resolve discrepancies and provide support.
  • Reconcile accounts payable and receivable ledgers to ensure that all payments are accounted for and properly posted.
  • Prepare invoices for payment by verifying transaction information, scheduling and preparing disbursements, and obtaining authorization of payment.
  • Liaise with sales and operations regarding reimbursable travel expenses using automated expense management software.
  • Handle administrative tasks for AP/AR such as vendor/customer setups and record maintenance.
  • Responsible for general accounting duties such as receiving/classifying and posting invoices, purchase orders, and other financial data.
  • Assist financial team with month-end, year-end and quarterly procedures as needed.
  • Other duties as required.

Qualifications

  • 2+ years of accounting related work experience. Knowledge of major CRS and/or QuickBooks software is a must.
  • GAAP Knowledge.
  • Dependable, detail-oriented, able to multi-task and solve problems.
  • Familiarity and proficiency in Microsoft Office products with advanced Excel skills.
  • Ability to analyze complex issues, identify alternative solutions and communicate them effectively with management.
  • Excellent verbal, written, and interpersonal communication skills and an ability to connect with others effectively with everyone from the top to the bottom of the organization.
  • Must be able to work well with minimal supervision and complete work in a timely manner.
  • Capacity to exercise discretion and high ethical standards at all times.
