Job Description

  • Assist the Chief Purser in matters regarding ship clearance and hotel administration tasks;
  • Assist the Chief Purser with the crew sign on / sign off paperwork;
  • As each crew member signs on / off, ensure that he/she:
    • Is in possession of all appropriate documents. Medical Certificate, Passport, STCW certificates etc. For sign on and handed out all necessary documents before disembarkation;
    • Collection of documents such as passport, Seamans book and certificates upon arrival of embarking crew;
    • Is signed on / off in both systems, Adonis and MXP;
    • Report with all crew changes is being sent shore side;
  •   Request, compare and book flight tickets for disembarking crew;
  •   Keeping crew informed about port shore leave regulations, cash advance schedules and other relevant information;
  •   Check clearance requirements for each port;
  •   Organize and participate in Crew Welfare Meetings as well as organizing Crew Activities;
  •   Documents upload in Adonis (Personnel Management System);
  •   Submission of documents such as Seafarers Employment Agreements shore side;
  •   Ensure that all lists are up to date and contain the correct information as required. These include crew lists, customs lists, personal details, passport, visas, summary of qualifications, etc;
  •   Be familiar with the Company’s SMS;
  •   Enter charges to guests’ and crew´s shipboard accounts;

Qualifications

  • Accounting degree or Higher Education in this particular field preferred, or hotel School beneficial;
  • Minimum of two (2) years’ experience in same or similar position, preferably on board a cruise ship;
  • Must be fluent in written and spoken English;
  • Should have Basic German skills;
  • Must have good administrative skills (Microsoft Office, MXP and Adonis knowledge are a plus);
  • Knowledge in accounting and organization skills;
  • Must possess excellent leadership skills and have to be able to deal with all kind of crew and passengers from different countries, ranks etc;
  • Must be able to remain calm under pressure;
  • Needs to have an outgoing personality and has to possess a positive attitude, maintaining a friendly and approachable demeanor at all times;

Additional Information

Safety Responsibilities

  • To be familiar with Ship´s Emergency plans
  • To be familiar with Safe Working Practices.

Emergency Duties

  • Follow instructions on Safety Card;
  • To participate in Guest/Crew Lifeboat Drills as per instructions;
  • Other safety responsibilities, as assigned, but not limited to the above;


Financial Responsibilities

  • Ensure that all shipboard documents are maintained and correct.
  • Coordinate the flight details for offsigning crew with the appropriate travel agencies
  • Ensure that the most costefficient method of transportation is used at all times.
  • Collecting receipts of visa charges or similar from crew and fill expense reports.
  • Pay out cash advance to the crew. Team Communication & Meetings

 

  • To communicate with the Chief Purser on a regular basis.
  • To encourage and demonstrate good communication, excellent teamwork and continuous training, coaching and counseling.
